Under the supervision of the Operations Manager, the incumbent will be responsible for the proper execution of all duties related to the functions of the administrative and programme support services for the office in compliance with applicable policies and procedures.

Purpose:

Under the supervision of the Operations Manager, the incumbent will be responsible for the proper execution of all duties related to the functions of the administrative and programme support services for the office in compliance with applicable policies and procedures including:

Key Expected Results:

• Follow up on the settlement of all invoices for travel, hotels, maintenance, rent of premises, utilities
• Respond to client transaction status and other inquiries;
• Follow up on the maintenance of office equipment and premises; Ensures that services and maintenance of premises are in accordance with organizational standards.
• Monitors and supervises adequate and appropriate use of office stationary and supplies.
• Ensure adequate filing of the administrative documents in the respective files;
• Follow up with the travel agents on the flight bookings;
• Follow up on the visa process with protocol and coordinate with Libyan embassy in Tunis;
• Support the physical inventory of office assets and reconcile with the master record in Tripoli office,
• Maintain hard and electronic files and update data base systems ensuring timely and appropriate recording, safekeeping and disposal of confidential information.
• Support on management of transportation requests for daily office errands, meetings, events and workshops
• Support in managing AV maintenance and follow up on regular repair and replacement of damaged/worn-out parts
• Support in preparation of required documentation and follow up on customs clearances of shipments

Qualifications of Successful Candidate:

Education and Work Experience:

• Completion of secondary school education preferably supplemented with diploma or training in Business Administration and/or       Accounting or finance;
• Five years of progressively responsible Administrative work, of which at least two year is closely related to financial or administrative   support activities;
• Good oral and written Arabic and English languages are required;
• Good knowledge of computer applications like word processing and spreadsheets;
• Demonstrated ability to work in a multi-cultural environment and establish harmonious and effective working relationships, both within   and outside the organization.
