The Senior Maintenance Associate is responsible for a variety of specialised tasks in Building management, Maintenance, Implementing Security projects in the building, Supervising work of contractors hired for building maintenance and security including preparation of TORs and technical evaluations. Supervise a team of three staff and one temporary staff, certify payments to be made for building maintenance, security work etc. Assists the supervisor and the Chief of Operations to closely monitor the security situation in Geneva, advising on updating the security of the building as needed. Focal point for maintenance for Business Continuity Plan and transport.

The position of the Maintenance Associate is part of the Common services Operations Section, supporting all Geneva based entities in Office management matters. The Geneva based entities namely: Private Fundraising and Partnerships Division (PFP), Europe and Central Asia Regional Office (ECAR), EMOPS, Geneva Liaison Office, Geneva Common Services and Out posted Programme and Communication division staff, have diverse administrative requirements and workplans, with the requirement for the incumbent to have the flexibility to adapt to the working styles and needs.

How can you make a difference?
- Lead the work on building maintenance for UNICEF Geneva office. Receive and log all calls for service requests for air conditioning/heating, electrical break-down, lighting maintenance; plumbing and repairs (doors, walls, carpentry, hanging of pictures, etc.);
- Distribute the work within the direct supervisees;
- Arrange for prompt completion of all such requests by checking and verifying the technical nature of the requests.
- Performs repairs, and if required coordinate the works through outside specialized contractors.
- Carry out periodic checks of security systems and equipment to ensure they are functional
- Closely monitor on-site jobs performed by contracted companies performing renovation alterations, partitioning, carpentry, painting, cleaning, and provide feedback on progress to supervisor
- Monitor stock of building maintenance related supplies locks, keys, hardware, bulbs,etc.) and as and when needed submit requests for same.
- Interact with external suppliers’ representatives and Real Estate Agent to ensure that services are provided and corrective actions are taken, if necessary.
- Receive and verify supplies ordered,
- Review invoices related to above, against delivery of goods/services received before submission for approval.
- Makes all arrangements for conference and meetings which involves various logistics components (transportation, technical equipment, etc)
- As and when required, arrange for office accommodation of staff in co-ordination with supervisor, maintenance team, IT (computer, telephone) and others;
- Provides plans for staff moves, and co-ordinates with staff of all levels to ensure smooth staff movement.
- Coordinate and implement measures required to strengthen security of building including:
- tasks related to security risk assessments and for MOSS requirements.
- Act as focal point for assessing and coordinating assessment of the building in real security situations. Focal point for UNICEF office maintenance for BCP and transport.
- Drive official car upon request of supervisor
- Any other assignments entrusted by Admin. Officer/OPS Officer Act as back-up for Inventory Assistant in ensuring the adequate information is provided to the Administrative Officer on receipt of materials that need to be accounted for, in relation to receipt, movements and need of disposal. Participate in annual physical inventory of Assets and Attractive Items (approximately 1300 items) for the Geneva office if need be,

Education:

Completion of secondary education is required.
Ability to use standard MS Office applications (e.g. Excel, Word etc) Visio etc.
Courses/certifications in business administration, supply chain management, procurement or logistics considered as an advantage.
Experience:
- Minimum of six years’ work experience in office maintenance and security. Demonstrable experience in assessing quality related to building maintenance and security projects.
