About the job 
  • The Procurement Assistant supports and contributes to the organisation and implementation of all Procurement activities. 
 
Your main duties and responsibilities will be: 
  • Assist the Operations Team to ensure timely and effective supply to programmes and meet operational needs;
  • Liaise with Programme Teams on procurement needs, taking into consideration lead times and effective planning; 
  • Assist in conducting market assessments and supplier registration activities to increase DRC’s supplier network;
  • Assist in the ensuring that all DRC Suppliers conform with the DRC Code of Ethics and General Conditions;
  • Take the lead in Purchase Request (PR) intake, including maintaining the DRC PR numbering system;
  • Prepare Request for Quotation (RFQ) bid forms and Tender Opening Committee Reports, with support from senior procurement and logistics team members; 
  • Support the implementation of contracts, ensuring suppliers meet the bid requirements (lead time, delivery time, quality);
  • Support the Implementation and Monitoring of Framework Agreements; 
  • Follows up in a timely manner with suppliers for all urgent requirements;
  • Follow-up on contract payments and ensure they are processed in a timely manner;
  • Ensure documentation is filed in a complete and appropriate manner, in hard copy and electronically; 
  • Act as the focal point for the Mosul Procurement Tracker and ensures updates are made in a timely manner;
  • Support internal strategic and planning meetings when required,
  • Any other duties as may be assigned by the line manager

  • Reports to: Operations Team Leader  
 
 
About you 
To be successful in this role we expect you to have the following: 
 
Experience and technical competencies:  
  • Previous experience in a similar position or previous administrative experience
  • Good communication skills (speaking, reading, writing)
  • Technical competencies in MS Word and MS Excel
  • Excellent attention to detail 
  • Previous experience with an INGO is an advantage 
 
Education:  
  • Minimum Education: High School 
  • Preferred Education: Bachelor Degree, preferably in Administration, Finance, Economics, or related field 
 
 
Languages:  
  • English – Fluent/Advanced
  • Arabic – Fluent/Advanced
