UNOPS Sudan implemented successful projects to improve urban water supply services in four State capital towns in Darfur, Sudan.  This was part of an emergency response to drought and later evolved to building management capacity to improve sustainability, working closely with the Urban Water Authorities.  The project was funded by the UK’s Department for International Development (DFID) and was completed in November 2014.  DFID now wishes to build on the projects achievements and the partnership with UNOPS, which has resulted in Urban Water for Darfur (UW4D) project, which is being implemented in partnership with UNICEF.

The objective of this particular position is therefore, to extend administrative assistance to the Urban Water for Darfur team based in Darfur.    

Functional Responsibilities

 The Administrative  Assistant, under an Individual Contractor Agreement, will be working in the Urban Water for Darfur (UW4D) DFID funded project  located in Darfur . . 

Under the general supervision of the Project Manager , and the direct supervision of the Senior Project Engineer , the Individual Contractor is responsible for the following duties:   

  • Provides general office support services to help ensure the smooth functioning of an organizational unit.
  • Reviews, records, routes and/or processes mail or other documents; tracks and monitors follow-up action as required.
  • Receives visitors, and responds to routine inquiries and information requests and as necessary, refers inquiries to appropriate personnel for handling.
  • Maintains files (both paper and electronic) and databases for work unit.
  • Updates and maintains large distribution lists; assemble documents, reports and other materials for wider dissemination. Performs basic data entry and extraction functions.
  • Checks accuracy of simple calculations, coding, data, etc.
  • Performs a variety of administrative duties (e.g. meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. vouchers, travel permit applications, etc.).
  • Photocopy variety of documents and other materials for records keeping.
  • Operates and maintains a variety of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc.
  • Assists the project team in Travel Authorization (TA) and Travel Expense Claims (TEC)
  • Supports the team in management of petty cash
  • Facilitate the official visits to El-Fasher, Darfur including books accommodation at UNAMID compound and/or other UN authorized accommodations
  • Performs other duties as assigned

Education/Experience/Language requirements

  • Education:         High school diploma or equivalent.
  • Experience:        Four years of work experience in general office support or related area is desirable.   
  • Language:           For the post advertised, fluency in oral and written English and Arabic is required.
  • Skills:                    Use of general office automation packages such as MS Office is an advantage.
