ORGANIZATIONAL CONTEXT

The Business Support Associate (Reports/ Donor Relations) G6 Fixed Term position is based in Addis Ababa. The incumbent will report directly to the Government Partnerships/Performance Reporting Officer and will be under the overall supervision of the Head of the Partnership & Communications unit. The job holder is expected to take responsibility and initiative for responding independently to queries including organization and coordination of assigned work. There is a requirement to use judgement in dealing with unforeseen problems on a daily basis. 

JOB PURPOSE

To coordinate and control a full range of business support services for a specific professional area of work, to ensure that services are delivered effectively. 

KEY ACCOUNTABILITIES (not all-inclusive)

1. Provide dedicated executive assistant support.

2. Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing

    notes, etc. and conduct research in the area of work.

3. Actively seek and use feedback to improve business processes and procedures.

4. Respond to complex business support queries in order to provide a timely and accurate

    resolution of enquiries for clients.

5. Oversee the maintenance of records and databases to ensure information is organised and

    readily available for staff and compliant with all relevant regulations and policies.

6. Revise and review correspondence and documentation, providing feedback and making

    amendments where appropriate, to contribute to production of these materials to time and

    quality standards.

7. Assist managers in planning, monitoring and reconciling budget(s) to ensure that planned

    financial resources are used effectively.

8. Assess and recommend improvements to procedures and practices, to contribute to the

    effective delivery of business support services.

9. Provide a full range of complex business support services to staff to contribute to the effective

     functioning of business operations.

10. Provide advice, support and/or training to junior support staff in the provision of business

     support services, in order to support their learning in providing business support.

OTHER SPECIFIC JOB REQUIREMENTS

  • Support the Donor Relations Officer / Reports Officer in managing a portfolio of partnerships, soliciting contributions, providing donor stewardship, and analysing results, in order to maximise resources raised.
  • Proactively contribute to ideas and highlight fundraising opportunities to senior managers for new strategies to maintain and increase funding from new and traditional donors.
  • Prepare information aimed at educating new and potential donors on the strategy, design, relevance and impact of WFP programmes, and to advocate the work of WFP. 
  • Support the Donor Relations / Reports Officer to propose contributions and partnership agreements, in line with internal policies and external regulations, in order to reach advantageous outcomes, such as more flexibility and predictability. Draft funding proposals according to outcome of partnerships reached.
  • Ensure WFP internal flow of information on donor priorities and projects.
  • Manage the organization and programme design for donor visits, liaising with field colleagues, security, administration where appropriate
  • Support the coordination and organization of routine donor meetings, drafting agendas and assisting technical experts to prepare presentations
  • Draft periodic donor reports, aligning with set requirements and timelines, and coordinate at the Country Office and Sub-Office levels, draft agendas, liaise with external partners for coordinated programme of actions.
  • Manage updates and further develop internal records and databases, ensuring information is accurate, organised and available for others to access.  
  • Perform other duties as required.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  • Has demonstrated a sound understanding of WFP communication techniques and activities and awareness of the socio-political context in which WFP operates through day to day work.
  • Experience in monitoring and evaluation.
  • Experience in writing reports.
  • Excellent knowledge of written English language.
  • Experience in in data analysis and ability to analyze data obtained from different sources for accuracy.
  • Good working knowledge of computer applications (Eg. Word, Excel, Email)

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary diploma or university degree in project management, monitoring & evaluation, international relations or policy would be an asset.
Experience: Six or more years of progressively responsible work experience in related business stream, reporting, partnership, monitoring & evaluation or project management

Knowledge and Skill: Strong command of written English and ability to prepare reports, concept notes or information notes, Analytical skills

LANGUAGE

Fluency in both oral and written communication in English. Knowledge of the local language is added advantage.
