The Country Office also supports programmes that use food assistance to empower women, transform areas affected by climate change and keep children in school. It aims to contribute to Ethiopia’s five-year development agenda, the Growth and Transformation Plan (GTP), through which the Government combats food insecurity.

ORGANIZATIONAL CONTEXT

The Business Support Assistant (Reports/ Information Management) G5 Fixed-Term position is based in Addis Ababa. The incumbent will report directly to the Head of the Partnerships & Communications unit. The job holder is expected to take responsibility for completion of a range of communications process and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocated tasks to more junior colleagues.

JOB PURPOSE

To deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Collate information for inclusion in reports, documents and correspondence, to support the

    effective work of other staff.

2. Respond to standard queries and provide timely and accurate guidance.

3. Process and manage routine administrative and financial tasks in various functional areas, to

    contribute to the effective and timely management of resources.

4. Manage and maintain records and databases, to ensure information is organised and readily

    available for staff.

5. Maintain relationships with a range of individuals through provision of business support to assist

    in information sharing and service delivery to staff.

6. Proof-read reports, documentation, correspondence, etc., making changes in line with

    established guidelines where appropriate.

7. Contribute to improvement of business procedures and processes.

8. Collect and perform basic analysis of data to contribute to quality business information management.

9. Provide guidance to junior colleagues in performing their duties.

OTHER SPECIFIC JOB REQUIREMENTS

  • Under clear guidance, produce final draft versions of monthly WFP reports including the executive brief, country brief, external sitreps and infographs.
  • Liaise with Headquarters and the Regional Bureau on reporting requirements and work with Country Offices’ teams (resource management, pipeline, programme, etc.) to get the necessary inputs and updates.
  • Update and maintain factsheets on all Country Office programme activities with the objective of enhancing donor and partner knowledge of WFP’s interventions in country.
  • Update the WFP Ethiopia country page on the external website to ensure information is current and available to all, and to contribute to advocacy efforts.
  • Manage and organize the photo gallery of WFP Ethiopia activities to be used for WFP publications, WFP Liaison Offices and donor information. Support visibility campaigns and advocacy for WFP.
  • Undertake basic analysis of data received from various units to ensure consistency of data for inputs in Country Office reporting tools.
  • Perform other duties as required.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  • Has demonstrated an ability to perform routine communication techniques and activities in line with WFPs operating standards through day to day work.
  • Experience in providing and verifying inputs for reports.
  • Very good knowledge of written English language.
  • Some Experience in data analysis and graphic design.
  • Able to analyze data obtained from different sources for accuracy.
  • Knowledge of publication tools such as Photoshop, illustrator, etc.
  • Working knowledge of other computer applications (Eg. Word, Excel, Email).

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate or specialized training courses in the related functional area, infographic is desirable.


Experience: Five or more years of progressively responsible work experience in the related business stream including experience in reporting, information management, info graphics, communication


Knowledge & Skills: 

Knowledge of graphic design interfaces

Exposure to basic data management and analysis

Effective communication skills with both internal and external stakeholders

Demonstrated organisation skills

LANGUAGE

Fluency in both oral and written communication in English. Knowledge of the local language is added advantage.
