Under the overall authority of the Assistant Director-General for External Relations and Public Information, overall guidance of the Director of the Division of Public Information (DIR/DPI), and the direct supervision of the Chief of Section of Publishing and Branding (ERI/DPI/PBM), the Publication Assistant shall provide rights-related administration and support to promotion activities for the smooth and efficient organization and delivery of programme results of the section. The incumbent will provide a full range of office, administrative and management support services. In particular, the incumbent will\:

  • Assist in the handling of requests for permission to use UNESCO’s copyrighted publications including working with programme sectors concerned with requests; research files and archives for information to determine the ownership of the Intellectual Property; record permission and transactions.
  • Assist with the drafting of license agreements for translations or local editions with publishing houses and partners from existing templates, under the overall guidance of the Supervisor and Publication Specialists.
  • Participate in the updating and maintain the rights and permissions databases and files; carrie out verification of royalties; handle payments for royalty payments pertaining to contracts and authorizations, including transmission to corresponding services and follow-up.
  • Assist the Editorial and Rights Specialists in preparation of book fairs, and provide other support as needed.
  • Assist the promotion of new publications on all promotional materials\: UNESCO Homepage, UNESCO Publishing Catalogues, UNESCO Publishing Newsletter, INFORADAR, UnesCommunity, UNESCO screens, UNESCO Courier, World Heritage Review.
  • Assist to keep updated the UNESCO eshop.
  • Assist the managing and regular updating of databases.

EDUCATION

  • Completed secondary, technical and/or vocational education.

WORK EXPERIENCE

  • Minimum 3 years of relevant work experience in administrative and/or secretarial tasks.
  • Experience in rights-related administration.

SKILLS/COMPETENCIES

  • Excellent skills, including drafting skills in English and/or French
  • Attention to detail and meticulous in correspondence.
  • Ability to work as part of a team and to provide quality and timely support and services.
  • Flexibility to adjust work schedules and priorities; capacity to work effectively under pressure.
  • Excellent computer skills; proficiency in the use of MS Office (Word, Excel, Outlook, PowerPoint, etc.) and databases.

LANGUAGES

  • Excellent knowledge of English or French and good knowledge of the other language.
