Position Summary:
The Police Component Program Management Office Support Officer must be an agile thinker, strong writer, and team player to be the principle support to the Police Component lead. He/she must provide proactive solutions and rapid decisions for the component lead in a dynamic work environment. He/she must maintain a broad program perspective and ensure due diligence is done on all program activities. He/she will manage input into the Knowledge Management System database, track implementation, and arrange component and cross-component meetings. He/she will help manage staff in both conflict and non-conflict zones and must be a strong cross-cultural communicator and sensitive to staff issues.
Reporting to: Police Component PMO Manager
Responsibilities:
- Supports Police component coordination, including the activities of the three sub-components (Organizational Development, Equipment Provision and Training).
- Supports activity implementation across the Police component.
- Works with other program components, especially the Implementation component, to implement activities.
- Supports the planning and coordination of activities; monitors timelines, resolves issues, and ensures the timely completion and closure of each activity.
- Gathers and manages information from all staff to update and maintain the Knowledge Management System, including recording updates on progress and developing budget amendments when necessary.
- Develops Concept Notes for Police component activity sheets and field activities, as well as all associated reporting, budgeting and data management.
- Develop standard operating processes that improve staff efficiency and reduce redundancy; hold regular meetings to improve Police component staff capacity.
- Liaises with beneficiaries on a monthly basis, ensuring that meeting agendas, minutes and issues raised are captured, recorded, relayed and actioned as necessary.
- Manages vetting requirements of the program as they relate to the direct beneficiaries of Police component activities, including confirming beneficiary biodata, managing the project database and submitting beneficiaries.
- Contributes administrative support to the Police Component Lead where required, including but not limited to budgets, work plan, logical framework, etc.
- Maintains and updates the Police Issues Log, recording all beneficiary concerns and communicating actions designated by the Police Component Lead with relevant staff.
Required Skills & Qualifications:
- Bachelor’s degree
- At least 2 years of experience in research and project management related to development in a conflict setting
- Experience working in a conflict environment;
- Experience working in a team with a diverse staff;
- Excellent writing and analytical skills;
- Strong organizational and leadership skills; and
- Experience with international programs funded by the US Government, United Nations, World Bank, or similar organization.
- Authorization to work in Jordan
