NRC also runs the Internal Displacement Monitoring Centre in Geneva, a global leader in reporting on and advocating for people displaced within their own country.

The Institutional Partnership and Administration Coordinator will work in the Partnerships and Policy Department. The Partnerships and Policy Department is responsible for NRC’s global advocacy and strategic relations with institutional donors and private foundations. The Institutional Partnership and Administration Coordinator will work particularly closely with the Institutional Partnership Advisers in the Institutional Partnership Section, which is the “centre of excellence” on donor/partner relations in NRC, thereby providing support to all Departments, and Regional, Country and Representative Offices in the organisation.

The Institutional Partnership and Administration Coordinator will assist the Institutional Partnership Section in their daily work, which includes  developing funding prospects with existing and new donors; further streamlining NRC’s procedures, processes and tools related to resource mobilisation and grant management; developing and providing internal training and help-desk support, etc. The Institutional Partnership and Administration Coordinator will also be providing support to the Advocacy and Policy Section and department management, and in doing this will collaborate and coordinate closely with the Adviser for Strategy and Administration and the department Controller.

Role and responsibilities

The Institutional Partnership and Administration Coordinator’s role is to provide administrative support to department staff based in Oslo as well as support the Institutional Partnership Advisers on donor-related issues and processes.

The Institutional Partnership and Administration Coordinator shall:

  • Support the department with posting news in Workplace, maintaining the Office 365 department pages, updating information about the Partnerships and Policy department on the NRC Internet site, and archiving.
  • Support the department with organising conferences, seminars, workshops, trainings, internal meetings etc. This may include the drafting of agendas, booking meeting venues, invitations and liaison with participants, preparing training materials, note taking, etc.
  • Assist with any other administrative tasks in the department.
  • Support the Institutional Partnership Advisers (IPAs) with the daily administration of existing framework agreements. This includes assisting with drafting, coordinating and compiling information for overall organisational proposals and reports; creating templates and tracking systems, assisting with the consolidation, format check and language editing of annual plans, annual plan revisions, and annual reports; assisting with coordination and preparation of donor meetings; and proposing administrative improvements of framework agreement processes.
  • Support the IPAs with applications for new framework agreements, donor pre-qualification processes, and strategic stand-alone project proposals. This includes assistance with drafting, coordinating and compiling information; and assisting with format checks and language editing.
  • Support the IPAs in their role as internal help-desks. This includes ensuring that the donor pages on the NRC Intranet are continuously updated, and responding to enquiries related to annual plans and annual reports under the framework agreements (NRC internal guidelines, donor rules and regulations).
  • Compile relevant statistics and data analysis upon request.

Competencies

  • Excellent interpersonal and communication skills, and service mindedness.
  • A conscientious and structured person with strong planning skills, including computer skills (MS Word, MS Excel, MS Powerpoint).
  • Fluency in English: excellent written skills are required. Preferably knowledge of a Scandinavian.
  • University degree or equivalent qualification, preferably at master degree level.
  • Documented results within administration, and preferably also grants management and finance. Minimum one year of work experience preferably from a humanitarian/development organisation and/or from a donor administration, either at Head Office/capital or field/embassy level.
  • Prior experience with the following donors is desirable: the Norwegian Ministry of Foreign Affairs (NMFA), Norad, Swedish International Development Cooperation Agency (Sida), the Department for International Development (DFID), Global Affairs Canada (GAC) and other donors.

 

The position as a 12 month temporary position. Starting as soon as possible.
