Background Information - Job-specific

Under the guidance and supervision of the Chief of Security and within the function of UNOPS Corporate Security, the Security Team Assistant provides support to office operations performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Security Team Assistant may take routine decisions on various processes based on clearly established guidelines. In performing her/his work, the Security Team Assistant promotes a client, quality, and results-oriented approach.

The Security Team Assistant works in close collaboration with the Chief of Security, Field Security personnel in the field and the UNOPS Security Focal Points as well as with other UNOPS personnel to ensure consistent and prompt service delivery.

Functional Responsibilities

  • Support to effective and efficient functioning of the Security Team
  • Support to administrative and logistical services
  • Provides support to the security office on monitoring of UNOPS compliance with UN security policies,
  • Support to knowledge building and knowledge sharing
1.Ensures effective and efficient functioning of the Security Team, focusing on achievement of the following results:
  • Contacts with visitors and staff, the arrangement of appointments and meetings.
  • Compilation and preparation of briefing and presentation materials, background information, and documentation for meetings and missions.
  • Maintenance of hard copy and electronic files, reference materials and confidential records as required.
  • Collaboration in the preparation of the administrative budget plan for the office
  • Review and monitoring of expenditures against the administrative budget for the office, bringing to the attention of the supervisor any problem or discrepancy that warrants further review.

2. Ensures effective administrative and logistical support, focusing on achievement of the following results:

  • Organization of various mandatory returns, procedures and plans received from the field.
  • Support on the organization of procurement processes.
  • Administrative support to meetings and workshops.
  • Maintenance of the filing system ensuring safekeeping of confidential materials.
  • Extraction of data from various sources.
  • Research and retrieval of statistical data from internal and external sources; preparation of statistical charts, tables and reports.
  • Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to head of the unit.
  • Assistance in the preparation of the budget, provision of information for the audit.

3. Provides support to the security office on monitoring of UNOPS compliance with UN security policies, focusing on achievement of the following results:

  • Maintenance of records and statistics on the implementation of Mandatory Operational Security Standards (MOSS), participation in the UNSMS process and implementation of identified mitigation measures.
  • Maintenance of files and records relevant to Business Continuity Plans.

4. Provides support to knowledge building and knowledge sharing, focusing on achievement of the following results:

  • Participation in the training relevant for the functioning of the security office.
  • Sound contributions to knowledge networks and communities of practice.

Education/Experience/Language requirements

  • Secondary education/High school diploma is required
  • 5 years of relevant experience in administration or programme support service is required however the higher education may substitute some years of experience
  • Fluency in English in written and oral is required.  Knowledge of second UN working language desirable.
  • Experience in the usage of computers and office software packages is required
  • Handling of web-based management systems is desirable
  • Experience from the UN security management system an asset
