The EIB, the European Union's bank, is seeking for its Legal Directorate - JU Coordination Unit

at its headquarters in Luxembourg:

INTERN

Duration: 5 months (fixed start date: 1st September 2018)

(With possible extension up to 6 months if required by University)

Objective of the traineeship

You will learn the work of a “Coordination -Service”, i.e. internal support services needed by a Directorate of 200 people, within in a bank-institution, with a strong focus on internal customers.

You will support the Coordination Unit on processes (internal administrative processes) and on supporting tools (e.g. templates, reporting, archives), small projects, and related tasks.

Responsibilities

The responsibilities on one or more of the following areas will be flexibly decided during your internship, based on your specific skills and the need of the Coordination Unit.

Reporting development and deployment.

This project aims at the continuous improvement and development of reporting in various areas. It implies working on existing data sources (mainly Business Objects queries) and translating them into reports supporting analyses and decision taking. Reporting areas include for instance: missions (business travels), budgets, staffing (recruitment), offices, utilisation of databases and legal information resources, completion of time sheets, etc. You may complement this project activity by providing hands -on support in tasks for which the reporting is being done (e.g. backing -up in mission -desk activities to understand the related reporting; ensuring Time & Labour data are timely rerecorded etc.). This will allow you developing a good understanding of the content underlying our reporting.

Optimisation of Intranet and internal communication.

This project aims at maintaining and developing the information and internal services offered via the Directorate’s Intranet and other channels. You will learn about the use of Intranet as communication, information, coordination and knowledge-management tool. You might review and help coordinating the collection and deployment of content, including testing. You might help designing, testing and implementing a more uniform flow of information from the JU Coordination to its internal clients. Project activity may be complemented with hands -on support in the maintenance and update of Intranet content.

Simulation and allocation of office spaces.

This project implies working with tables, reports, internal procedures and negotiations with internal clients and service providers (Facility Management). It offers the opportunity to learn about a very sensitive, often underestimated, and complex internal support area. The project activity may be complemented with hands-on support in the allocation of office spaces. Challenge in 2018: managing a situation of tight office spaces in a context of reorganisation.

Academic qualifications and professional skills

  • Final year of studies or university degree (Bachelor /Master) in Business Administration or other related fields
  • Excellent knowledge of written and spoken English and/or French. Knowledge of other languages would be an advantage.
  • Excellent real practical knowledge of IT office tools (MS Office package), in particular MS Excel
  • Some short experience in a similar role or work environment would be an asset
  • Some short experience in carrying out field projects / research in administrative support services would be an advantage
  • Knowledge of reporting tools (e.g. Business Objects) would be a distinctive advantage
