We are looking for a Consultant for 11.5 months to carry out data processing work and to follow-up on existing and potential supporters by answering inbound inquiries.

How can you make a difference? 

UNICEF China's fundraising team works with various supporters to raise funds for our programmes for children. We are now looking to strengthen our supporter care team with an additional person to carry out data processing work and to follow-up on existing or potential supporters by answering inbound inquiries. With this we look to expand campaign results for better support for our programmes, and to retain good relationships with UNICEF supporters.

This assignment is a temporary opportunity for 11.5 months from 18 June 2018 to 31 May 2019. The consultant will work at UNICEF’s office in Beijing Sanlitun.

Areas of responsibilities include:

Processing entries:

Accurate entry of information into database in a timely manner, and carry out activities related to routine operation of database. 

  • Import and input new pledge data into database - daily
  • Update pledge change/cancel in database as per donor’s request - daily
  • Pledge data check before deduction -3 working days before pledge deduction date
  • Process pledge deductions in database, upload to bank; batch report submit - 3 rounds per month
  • Data maintenance and cleaning - quarterly.

Donor communication:

Inbound calls

  • Answer inquiries in a professional manner based on Frequently Asked Questions (FAQ) guidelines. - inbound calls: reply immediately
  • Log details of calls from prospects or other parties in forms
  • Log questions not on the FAQ in order to develop a more comprehensive list
  • Call back the caller should the required answers not be immediately available after consultation with supervisor
  • Raise any call-related issues to supervisor to seek guidance on responses and/or call management

Outbound calls

  • Carry out out-bound calls to supporters for follow up / information update and to introduce new activities
  • Log details of calls in database

Email/SMS

  • Email follow up / reply-within 3 working days
  • Pledge receipt/e-receipt re-send-within 15 working days after receive supporter’s request
  • SMS reply and sending as per pledge monthly deduction process and retention plan - within 1-3 working days after getting data available

General administration:

Provide administrative support to the unit as requested, such as typing, translation, filing, faxing, photocopying, etc.

To qualify as a champion for every child you will have…

  • A bachelor’s degree from a college or university, or other comparable education
  • 4-5 years of administrative work experience (may include internship experience), preferably in administration, data management, or related field
  • Native Mandarin Chinese skills, reading and writing. Good command of spoken English and working knowledge of written English.
  • Experience in using Microsoft Office applications
  • Attention to detail and an analytical mind
  • Good initiative, ability to conceptualise and come up with improvement suggestions
  • Excellent organizational skills
  • Ability to work in teams and independently
  • Exceptional customer service attitude
