Introduction
Step Up is an entry point for dynamic professionals ideally females interested in an international career with ITC. Administrative Officer is expected to support and strengthen the organizations' capacity by providing administrative support (e.g. Finance, Procurement, and Human Resources Management). Interested candidates must share ITC’s values and ideals as well as be able to listen to, understand and effectively respond to the ideas and concerns of clients. Similarly, interested candidates must be able to communicate and work strategically and effectively with others to achieve results. Additionally, it is critical for candidates to be geographically mobile and willing to travel extensively including to least developed and developing countries.

Under the direct supervision of the Unit Head and the general guidance of the Section Chief, the
incumbent will:
1. Oversee financial, administrative, and personnel matters and prepare plan of operations for the
relevant work unit.
2. Supervise administrative arrangements for official meetings.
3. Liaise with other departments to settle administrative arrangements.
4. May undertake missions to review administrative matters of projects or to participate in the
organization of seminars.
5. Coordinate and organise workshops and meetings.
6. Provide guidance to administrative support staff.
7. Respond to programming and administrative questions and ensure necessary follow up.
8. Conduct research and analysis. Draft concept papers, recommendations and proposals.
10. Develop and deliver presentations, briefings and trainings to varied audiences.
11. Draft text and prepare budget for Programme and Budget proposals. Participate in the
preparation of project documents submitted for external funding and prepare final budgetary
reports on approved projects. Prepare other reports and documents related to programme and
financial matters. Prepare correspondence related to finance, personnel or administration.
12. Administer staff movements. Liaise with Human Resources Development Department on
recruitment. Administer contractual agreements, especially external collaboration.
13. Control purchase, inventory and maintenance of furniture, equipment and supplies.
14. Review and analyse project implementation and progress reports to ensure outputs are in line
with objectives and to judge need for reassigning material or personnel or suggest other
measures to strengthen delivery.
15. Perform any other duties as required.
These generic duties will be performed according to the incumbent’s area of expertise:
E LIGIBILITC RITERIA
EDUCATION : Advanced university degree in a relevant field, e.g. finance, human resources
management, communication, business management, or public administration
Note: A first-level university degree in a relevant field may be accepted with an additional two years
of relevant professional work experience.
W ORK EXPERIENCE : Minimum two years of work experience in administration. Experience of working
in a multi-cultural environment would be an asset.
L ANGUAGES : Advanced knowledge of English. Knowledge of other UN official languages is an

R EQUIRED KNOWLEDGE AND SKILLS:
- Ability to conduct high quality research and analytical skills.
- Ability to draft, review and edit documents with flair and accuracy.
- Good presentation skills.
- Awareness of current and emerging trends in administration particularly in the UN context.
- Knowledge of research methodologies, processes and relevant project management techniques would be an asset.
