Overview of the Role

The role works within a busy HR department providing support to both head office staff and International staff. There are currently approximately 90 international staff working within 13 Country Programmes overseas and approximately 80 head office staff based in Dublin. Your role is to work with the HR Generalist (Head office) & HR Generalist (Global) in providing support to all staff based in Dublin and overseas as well as working on GDPR and recruitment. This is a busy, challenging and interesting role which requires excellent time management, great organizational skills and an interest in Human Resources.

GDPR

  • Filing, archiving or deleting existing documentation in line with data protection requirements;
  • Processing consent requests and updates about use of information with GOAL’s data subjects, in line with GOAL policies;
  • Completing reports and providing updates for GOAL’s Data Protection Officer and Working Group as required.

Human Resources

On-Boarding

  • Correspond with all newly hired international and head office staff regarding vital paperwork which they must complete and return to the HR Administrator prior to commencing their contract with GOAL. This paperwork includes, but is not limited to; medical clearance, police clearance, vaccinations, GOAL policies etc;
  • Process work permits for all international staff hired;
  • Respond to email queries and phone calls from newly hired staff on any queries they might have regarding their on-boarding obligations;
  • Inform International HR staff, Security Advisors, Country Office, IT and Desk Officers regarding the hiring of all new international staff.

Flights

  • Ensure that visitor and staff travel details are passed on to the relevant country offices;
  • Provide assistance to the receptionist when required with the booking of flights for both International staff and head office staff;
  • Inform the HR Generalist (Head office) & HR Generalist (Global) on confirmed travel dates for payroll purposes and for payroll purposes;
  • Provide GOAL letters as requested to ensure staff are facilitated in their travel arrangements.

HR Database

  • Update both the International HR and the head office database with relevant information relating to all new hires;
  • Ensuring that all information on the database is without error as all information captured by the HR administrator on the database is used to assist in generating international payroll on a monthly basis;
  • Generate reports from the database;
  • Assist the HR Generalist (Head office) & HR Generalist (Global) in ensuring all staff files are completely up to date with necessary policies, and new starter information;
  • Ensure that all expense paperwork is in order before seeking sign-off from CFO on all expense claims;
  • Ensure that the calculation of per-diems for international travel is at the correct daily rate.

Recruitment

  • Assist in the posting of vacancies on the GOAL website and various other job boards;
  • Schedule and coordinate interviews with candidates and hiring managers;
  • Send and receive reference check;
  • Ensure the recruitment system “Greenhouse” is kept up to date by taking jobs off line, closing jobs and contacting applicants.

Requirements:

Essential criteria:

  • 3rd level degree in a relevant discipline;
  • 2 years + administration experience;
  • Ability to prioritise workload and achieve deadlines;
  • Ability to work on their own initiative;
  • Good interpersonal and communication skills, both verbal and written;
  • Strong IT, outlook and excel skills.

Desirable criteria:

  • CIPD qualification or willingness to complete a CIPD course;
  • Interest in the Not for Profit sector;
  • Experience using Sharepoint.

Our package includes a competitive salary, 22 days annual leave and the possibility to join our Health care scheme. Additional benefits are available after 12 months of service. Salary range for this role is €24,000 to €28,000. Candidates must be entitled to work in Ireland at the time of application.
