Logistics Assistant

Background

The Danish Refugee Council (DRC) has been providing relief and development services in Yemen since 2008. Using right-based approaches, DRC has mainly focused on refugees, migrants and internally displaced People by conflict and natural disasters. Programs include WASH, protection, Food security/livelihoods and mine risks education, amongst others. DRC has hub offices in Sana’a, Aden, Hodeida and several sub-offices throughout Yemen.  In response to the humanitarian needs and the resulting increase of conflict affected population in Yemen, DRC is seeking the services of a qualified (20) Warehouse Assistants to support our emergency mobile rapid response team in Sana’a, Sa’adah, Hodeidah, Hajjah, Amran, Aden, Lahj, and Shabwah governorates.

Job Title: Logistics Assistant

Location: DRC Office in Sana’a

Contract:  Standard

Duration:  6 months

 

Purpose

 

  1. The Logistics Assistant is to ensure that the programmatic needs of the field offices are addressed and met in an efficient, timely, transparent, accountable and cost-effective manner. The Logistics Assistant will work closely with the Logistics Officers to ensure smooth and effective running of logistic and Procurement activities. The Logistic assistant is responsible for the provision of support services – all tasks related to procurement and logistics based on DRC’s organizational mandate, priorities and donors’ agreements.

     

    Key Responsibilities

     

    Under the direct responsibility of Logistics Officer, the Logistics Assistant will perform the following tasks:

     

  2. Assist in all Procurement tasks as per DRC’s Procurement Handbook.
  3. Prepare weekly records of logistics, fleet management activities.
  4. Update the procurement tracking sheet on a daily basis.
  5. Liaise with DRC field offices on all items that are not locally available.
  6. Maintain regular follow up with suppliers to ensure timely delivery of goods as per contracts signed.
  7. Ensure accuracy of all inventories. Ensure Assets register and inventory is up-to-date in all times.
  8. Constantly monitor inventory tagging and recording in accordance with the DRC/Donor guidelines.
  9. Assisting in DRC warehouse management according to DRC warehouse standards and records are well maintained.
  10. Assisting and Ensuring that all items in the warehouse are properly numbered and tagged, and all deliveries and goods issued are properly.
  11. Assist in vehicle fleet management including the distribution of NFI transport needs. Ensure all vehicles meet DRC requirements for safety, management of vehicle running logs, booking and assignment of vehicles.
  12. Assist in monitoring the car pool to ensure optimal use, which includes service and maintenance etc. Ensure that log books are always filled in and maintain an updated overview of expenses for each vehicle.
  13. Coordination with Field Offices to record and update all inputs and data for the warehousing and Procurements
  14. Coordination with Filed Office to receive and Achieve Warehousing and Logistics Operations files and maintain them updated both manually and electronically.
  15. Any other task as requested by the Logistics Management.

     

    Reporting

  16. The Logistics Assistant shall provide the Logistics Department with required regular weekly, monthly and periodically reports as requested.
  17. Report any shortages, damages, losses, or any incidents in the Logistics immediately once whatever happens.

 

Qualifications & Preferred Skills

  1. College Diploma or certificate in Logistics, Warehouse management or general administrative activities.
  2. At least one (1) year experience in the field of logistics.
  3. Very good written and spoken English.
  4. Previous experience from working in complex and volatile contexts.
  5. Documented results related to the position’s responsibilities.
  6. Experience with computers - Microsoft Word and Excel plus email.
  7. Ability to work independently in a result oriented multi-tasking and multi-cultural environment and manage conflicting priorities.
  8. Ability to keep clear and concise records.
  9. Ability to plan ahead and stress-resilient.
  10. Additional qualities: ability to multi-task, ability to handle pressure well, ability to improvise, flexibility, adaptability to transitions.

 

Languages

Spoken and written Arabic and English is essential.
