Position's Overall Objectives

DDG is now seeking to hire a Project Administrative Assistant to support ongoing projects in

eastern Ukraine. Being located in Severodonetsk s/he will technically and administratively report to the Head of Programme located in Kyiv. This position requires frequent travel to Slovyansk and Lysychansk.

The Project Administrative Assistant directly supports the DDG team in order to ensure the smooth operation of teams in the field. This is likely to involve the preparation of order requests, assistance with procurement processes for general and specialist equipment or services and other ad-hoc tasks in support of the operation of mobile teams that are very likely to arise with short notice. Where time allows, the Project Administrative Assistant may also be requested to support with DRC/DDG administrational tasks, in agreement with the Head of Programme.

 

Duties and responsibilities:

  • Handle logistics and travel arrangements and provide assistance with the preparation of purchase requests (PRs), order requests (ORs) in close cooperation with the relevant finance staff, specifically for the MTT team;
  • Assist in arranging trainings/meetings;
  • Assist with preparation of documents according to Ukrainian accountancy;
  • Compose letters in Ukrainian, Russian or English, on behalf of the DDG Project Manager or the DDG Head of Programme;
  • Updating contacts list of key stakeholders within the humanitarian mine action sector in Ukraine;

  • Maintain when required communication and arrange appointments for the project related visitors and schedule meetings as appropriate with project implementation partners, beneficiaries representatives, government officials and other stakeholders;
  •  Assistance with DRC/DDG communications efforts, when required;
  • Assistance with tasks in support of the smooth running of mine risk education and demining teams;
  • Understand and ensure the observance of the DRC-DDG Code of Conduct.

Essential Experience / Qualifications:

  • University level education
  • Fluency in English, Russian and Ukrainian; written and spoken
  • Ability to work under stressful conditions
  • Excellent Microsoft Office skills.
  • Previous experience in administration is preferable
  • Previous experience in NGO sector is highly desirable

 

WE OFFER

  • Contract length: 6 months with possible extension 
  • Level: D
  • Start date: 01 August 2018 
  • Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for Ukrainian Nationals and Ukraine Labor Code. The vacancy is opened only for Ukrainian nationals.
