The EIB, the European Union's bank, is seeking to recruit for its Operations Directorate (OPS) – Mandate Management Department (MM) – Institutional Mandates Division (MM-2) at its headquarters in Luxembourg, an:

Administrative Assistant

This is a full-time position at grade 1/2

The term of this contract will be 4 years;

Panel interviews are anticipated for beginning of September 2018

The EIB offers fixed-term contracts of up to a maximum of 6 years, according to business needs,

with a possibility to convert to a permanent contract, subject to organisational requirements and individual performance.

Purpose

The Administrative Assistant will provide administrative assistance to the Head of Division and other colleagues in the team with the objective of contributing to the efficiency and performance of the team’s overall activity. 

Operating Network

The Administrative Assistant will report to the Head of Division and will work with all members of the Division (Mandate officers and assistants) as well as interface with other Departments and Directorates. 

Accountabilities

  • Assist in the accurate preparation of documents related to division tasks, including input of data and the preparation of presentations (Power Point)
  • Assist in the preparation of Steering/Investment Committees as applicable for the various mandates.
  • Provide support for basic mandate reporting tasks
  • Ensure the administrative coordination of the Division's work: prepare and distribute documents (type, edit, format and proof-read the text), in order to produce documents with a high quality presentation within deadlines
  • Prepare documents and manage their further distribution/validation in line with the Department’s operational needs and in compliance with EIB's procedures
  • Organise meetings, appointments and missions
  • Monitor that procedures are followed during the mandate process
  • Handle all other secretarial tasks, including maintenance of Division's filing system
  • Cooperate with the other Assistants and members of the Department; when appropriate provide back-up for Department Secretary, train new colleagues on Bank procedures and processes, contribute to a good working atmosphere within the Division and the Department in order to facilitate the timely implementation of tasks, smooth flow of information and achievement of objectives 

Qualifications

  • Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration) or secondary level education with equally qualified experience in a relevant field
  • At least 3 years of relevant professional experience in providing administrative support
  • Excellent knowledge of standard MS Office Tools (Word, Excel, PowerPoint)
  • Excellent knowledge of written and spoken English and a good command of French (*).

(*) There may be certain flexibility on this requirement, but limited to particularly suitable candidates who may not yet be proficient in French. If selected, such candidates will be hired on the condition that they build up rapidly knowledge of French and accept that their future career in the EIB may be subject to the attainment of sufficient proficiency in both of the Bank's working languages
