HR Assistant Temporary Appointment Opportunities, GS-5, UNICEF Global Shared Services Centre, Budapest, Hungary

UNICEF Global Shared Services Centre is seeking candidates for our Human Resources Administration temporary assistance. These roles are for a limited appointment duration of 5 to 6 months. These opportunities are ideal for early career professionals that wish to gain international exposure. Human Resources Assistants provide support within the GSSC by maintaining and monitoring reports and ensuring that timely action is taken on status of entitlements and allowances for staff members in accordance with UN Staff Rules and Regulations and UNICEF's policies and procedures. These roles perform a variety of administrative duties supporting the On-boarding, Maintenance and Off-boarding processes of UNICEF staff members.

Human Resources Assistants provide support within the GSSC by maintaining and monitoring reports and ensuring that timely action is taken on status of entitlements and allowances for staff members in accordance with UN Staff Rules and Regulations and UNICEF's policies and procedures. These roles perform a variety of administrative duties supporting the On-boarding, Maintenance and Off-boarding processes of UNICEF staff members.
 
This will involve:

HR Administration for UNICEF staff
 
• Create, maintain and close employment offers, contracts, benefits and entitlements for all staff members of the organization.
• Perform necessary administrative actions on contractual status, benefits, entitlements and other allowances during onboarding, maintenance and offboarding processes.
• Draft correspondence on terms of employment in line with the discussions and recommendations from senior HR professionals.
 
Maintaining, recording and reporting systems for human resources processes
 
• Initiate, review and maintain staff entitlements and profiles in SAP-HR and other systems.
• Ensure timely and accurate execution of administrative actions in various online systems and in line with offline processes.
• Record and maintain supporting documentation for the performed work (e.g. forms related to onboarding, contractual status, marriage status, EG forms, separation forms).
 
Understanding changes in policy procedures
 
• Review policies and procedures and provide feedback based on implementation experience.
• Ensure appropriate action is taken to update processes when policy and procedure changes affect work.
• Participate in GSSC staff and other team meetings to keep informed of changes and share knowledge and experience.
 
As an advocate for every child, you will have…
 
• A secondary education diploma (high school).
• Minimum of 5 years relevant work experience in human resources. A completed university degree in a related field from an accredited institution will be counted toward the minimum work experience requirements.
• Working knowledge of the Microsoft Suite of Products (MS Word, MS Excel and MS PowerPoint).
• Ability to handle confidential and sensitive information.
• Fluency in English (verbal and written) is required.
• Knowledge of an additional UN Language (Arabic, Chinese, French, Russian, Spanish) is desirable.
• Previous hands-on experience in planning, organizing and delivering administrative support services is highly desirable.
• University level courses in human resources and business administration are desirable.
• Work experience with a development organization is desirable.
• Knowledge of UN and UNICEF'S rules, regulations and procedures is desirable.
• Non – EU citizens must be in possession of a work permit.
 
General Service (GS) staff are locally recruited staff and therefore, candidates are personally responsible for any travel and accommodation arrangements. UNICEF does not facilitate MFA accreditation for locally recruited staff.
