For every child,

UNICEF's overall goal is to support the Government of Iraq in realizing the rights of all Iraq's children to survival, development, protection and participation, and the creation of an enabling environment to ensure strengthened accountabilities for children with an equity approach. UNICEF works to improve the situation of children in Iraq through three key interventions:

 

1. Support the Government of Iraq to develop:  

    -Modern policies in all sectors relevant to children (ie. health, nutrition, education, water and sanitation, protection and overall social policy).

    -Institutions that effectively deliver essential services to children as well as empower children and their families to adopt behavior  practices that will improve their well-being

    -A legal framework to protect children.

2. Increase knowledge on children's rights and issues to inform government decision making and development planning. 

3. Advocacy for policies that protect children's rights, including government development plans and budget allocations that prioritize interventions in Iraq's most deprived children.

How can you make a difference?

The Administrative Assistant is responsible for executing a broad variety of standardized administrative tasks for the respective section(s) requiring thorough knowledge of UNICEF administrative procedures, processes and policies.

In this capacity, the need to project the image of a credible and reliable service provider is imperative to quality of process delivery, and the impact of work directly reflects on the overall reputation of the team in terms of responsiveness to client needs and quality of process execution.

 

Summary of key functions/accountabilities:

 

  • Protocol formalities
  • General Administrative Duties

 

Protocol Formalities:

1-Arrange and process of all type of visa requests for UNICEF staff, official visitors and counterparts in accordance with requirement of the United Nations and national government.

2-Organize briefing/debriefing of UNICEF staff members on issues relating to protocol including preparation of briefing materials, provision of advice and administrative support;

3-Maintain visas and passports database for all international staff in the country and valid records of all visa applications. Liaise with government authorities, embassies and Regional Office and take timely follow-up actions on visa and protocol matters

4-Organize timely collection of passports from the Embassies and MFA through the contractor once the visas are stamped in the passports.

5-Manage pouch and registry of incoming and outgoing mail, ensuring timely and accurate registration of incoming and outgoing documents related to the administrative function.

 General Administrative Duties:

1-Handle office Petty Cash

2-Maintain attendance records / act as a leave focal point.

3-Maintain proper and accurate filing system for Admin Unit as per the established procedure and standard. Ensure proper and safe archiving and disposal of old records including and specially those of confidential nature.

4-Arrange for the purchase and timely distribution of office supplies.

5-Provide logistical support to the organization of meetings and workshops including the reservation of conference and meeting rooms in the UN compound.

To qualify as an advocate for every child you will have:

  • Education: Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization.
  • Experience: A minimum of 5 years of progressively responsible administrative or clerical work experience is required.
  • Language Requirement: Fluency in English and Arabic is required.
