HR, Admin, and Finance Assistant (Part Time)

Operating since 2004 in Lebanon, DRC has addressed the needs and rights of vulnerable populations, working initially with Palestinian refugees (since 2004), Iraqi refugees (2007-2010), Lebanese IDPs (during the 2006 conflict), migrant domestic workers (since 2009) and, since 2011, responding to the Syrian refugee crisis.

DRC Lebanon is currently delivering programming in protection, housing, infrastructure, basic assistance, livelihoods, and community development interventions. This myriad programming seeks to address the immediate needs of displaced populations and concurrently support vulnerable host populations. DRC has five offices spread throughout Lebanon in, Beirut, the Bekaa, Saida, Tripoli and Qobayat.

In Bekaa you will find one of the most historical places in the world such as the Baalbak temple. It is also a safe and relaxing environment but at the same time very close to Beirut.

About the job

Under the direct supervision of the Finance, Admin, and HR manager, He/she will support the support service department in various administrative tasks; filing, scanning, scheduling interviews, etc.

Your main duties and responsibilities will be:

Administration

  • · Keep soft records of all Admin contract, such as lease agreements rent, employment contract and employee HR files and have the relevant documents/papers filled
  • · Prepare order requests for all office needs (cleaning items, stationary, cartridgesm furniture, etc...), followed by payment requests
  • · Act as focal point for meeting rooms bookings and ensure that all relevant arrangements are done prior to meetings, workshops, etc...
  • · Responsible for sending the attendance record to staff on a monthly basis, in addiiton to adding staff on the attendance machine

Human Resources

  • · Ensuring data of newly recruited staff is properly recorded on both the staff list and HR Master file; Personnel information such as marital status,position, salary, leaves. And Follow up with HR Beirut on staff social registration, staff medical insurance, and IDs
  • · Coordinate staff entry and exit procedures with Logistics and safety Department; follow up on the orientation schedule for new staff.  And Track staff leaves, performance and development forms, time sheets, pay slip, and contact lists.
  • · Support the HR Department on all local recruitment for Bekaa and South (call candidates, organize the time of interviews, attend the interviews when needed, and call for references)

Finance

  • · Maintain a timely and proper organization of the accounting supporting documents and filing according to donor requirements and Maintain proper filing of all financial documents (vouchers, contracts, tender documents, etc)

  • · Complete cashbooks and scan related documents

About you

·         To be successful in this role we expect you to have University degree in either HR, Admin, Accounting, Business, finance or related area;. Moreover, we also expect the following:

Required

  • ·         Ability to work with Microsoft programs (Excel)
  • ·         Proven ability to work under pressure and meeting deadlines
  • ·         Personal commitment, flexibility, efficiency
  • ·         Well-developed organizational and planning skills
  • ·         Self-motivation and strong team spirit
  • ·         Minimum of 1 years' relevant working experience.

We offer

Contract length: 4 months, part time contract

Level:  B1, Monthly Basic Salary USD 625

Duty Station: Bekaa

Start date: September 2018
