Context:

Under the overall supervision of the Director, Department of Resources Management, and the direct supervision of the Head, Common Services (COS), and in coordination with the Fleet and Mailing supervisor, the Mail Room activities covers the normal reception, sorting out, distribution of mail and documents and dispatch of mail, parcels and diplomatic pouch. In addition to the mail, other directly or indirectly connected activities, such as transport and internal printing have been placed in that group for historical and pragmatic reasons.

Core Functions / Responsibilities:

1. Control all documents submitted for printing, check the references, page presentation/proposed covers and operate the numerical printing machines to produce on average approximately 300 documents per month and produce all the colour photocopies. 2. Manage the Headquarters (HQs) printing section mail box and organize its archive. 3. Prepare excel documents for printing and submit them to the Head of COS on a monthly basis.

4. Manage printing requests and optimize the use of printers. Plan and organize recurrent printing requests in coordination with Meetings Secretariat (MGS).

5. Suggest solutions to optimize use of the printing machines and coordinate with the supplier(s) when necessary.

6. Produce all the bindings of printed documents, maintain the printing machines and take care of minor technical problems.

7. Assist Mail Room staff for the collection, reception, sorting out and distribution, delivery and Page 1 / 3dispatch of mails and parcels except during peak printing periods. 8. Open and sort out the mail for distribution by the mail clerks/messengers in the absence of the Fleet and Mailing Supervisor

9. Perform such other duties as may be assigned.

Required Qualifications and Experience:

Education

• University degree in Business Administration or a related field from an accredited academic institution with two years of relevant experience; or

• Completed High school / Secondary school education with four years of relevant experience. Experience

• Experience in a printing shop or a newspaper company;

• Computer literate with practical experience with Microsoft packages;

• Holding a valid driving license.

Languages

Fluency in French and working knowledge of English is required. Working knowledge of Spanish is an advantage.
