Senior Procurement Clerk

1. Organizational Context
The position is located in the
Procurement and Travel Division, Administration and Management Sector.
The Division is responsible for the procurement of general supplies, equipment, furniture, consumables and professional services provided by private commercial entities, for carrying out tendering processes and the establishment and administration of contractual agreements as well as for the purchase of goods and/or services to support WIPO's various programs in Geneva and in WIPO Member States. The Division also handles all travel administration for WIPO staff members and third party travelers, as well as contracts with individuals.
The main role of the incumbent is
to undertake a wide range of tasks in support of the electronic processing of
procurement-related activities and transactions.

2. Duties and Responsibilities
The incumbent will perform the
following principal duties\:
a. Administer and maintain, including
creation and modification of items, catalog and categories in PeopleSoft
ensuring consistent high quality of master data in the ERP.
b. Participate actively in
streamlining the catalog and provide support to requestors for items and
catalog including different catalog categories and their usage.
c. Administer and maintain WIPO's
vendor database including creation of new vendors and modification of existing
ones in PeopleSoft within agreed timelines. Administration of vendors includes\:
- Identification of duplicate vendors, coordinate within team for the inactivation of duplicate vendors.
- Identification of suspended vendors to ensure they are not available in PeopleSoft for any contracting/sourcing/ordering activities.
d. Administer and maintain records of
external providers including registration/creation of new Persons of Interest
(POIs) and modification of existing ones in PeopleSoft HR.
e. Proactively identify and document
process gaps, issues in catalog, vendor creation/modification and recommend
solutions/different courses of action on recurrent issues and gaps; participate
in the monitoring / control of master data.

and other related support activities for internal clients and other

Completion of secondary education.
Post-secondary education in
business, procurement or another relevant area.
At least five years' relevant work
Experience working with an ERP system, preferably PeopleSoft.
Excellent written and spoken
knowledge of English and good knowledge of French.
