Job Description

Under the direct supervision of the Grants Coordinator, the Grants Officer will be responsible for providing administrative support to the Grants team. Duties will include maintaining grant files and tracking documents, scheduling and organizing regular grant meetings, supporting the Grants teams in streamlining budget development and forecasting processes, processing sub-grant proposals and agreements, editing reports and proposals as needed, and other special projects.

Major Responsibilities:

  • Support Grants staff on finalization of proposal development processes including budgetary review and writing
  • Monthly aggregation of updated award pipeline and active award information and current status of receivables
  • Represent Grants team at HR orientation for new staff and present overview of department
  • As needed, support the Grants team in processing sub-grant proposals and agreements through IRC’s award management platform
  • Coordinate with Administrative staff for all grants-related meeting logistics and room bookings and support the Grants team by taking and distributing detailed notes at grants-related meetings
  • Create spending plan templates for input from program teams for effective program planning
  • Support the Grants team by performing administrative tasks such as facilitating document signatures and maintain all paper grant files
  • Support in other information and data gathering projects as requested by the Grant Coordinator

Other Internal and/or external contacts:

  • Internal:  The Grants Officer will work to coordinate grants meetings and review/submission of documents to IRC HQ or donors with Administration staff, Program units, Supply Chain, Finance and HR, as well as the senior management team.

Qualifications

  • Education:University degree
  • Work Experience: At least one year prior professional experience in a similar post (preferably NGO or UN agency)

Demonstrated Skills and Competencies:

  • High-level proficiency in Excel; skilled with Word and PowerPoint
  • Organized with a keen attention to detail
  • Motivated, fast learner with good interpersonal and time management skills
  • Proactive, solutions oriented
  • Skilled writer and editor
  • Ability to work within a multi-cultural team
  • Familiarity with award lifecycle phases and program management elements, including proposal development, budgeting and reporting

Language Skills:Excellent written and spoken English and Arabic

Certificates or Licenses: NA

Working Environment: Standard office work environment with trips to the field to visit program activities.
