JOB PURPOSE

To perform a range of HR tasks to support accurate implementation of WFP policies and procedures and facilitate the effective functioning of a client-focused and strategy-oriented HR services. 

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of the Regional Human Resources Officer, the Senior Human Resources Assistant will perform the following duties:

Management of Local RB Recruitment Processes: 

• Focal point for all incoming requests enduring that Management approval has been obtained before proceeding with the Vacancy Announcement (VA) Process;

• Keep tracking system in place of all on-going local recruitment fixed tern and short term, draft recruitment plans for all new requests; 

• Utilize and request assistance from all other HR Unit staff to ensure that process stay on track;

• Draft internal and external VAs ensuring that approval is obtained;

• Issue VA in accordance with standards of practice and recruitment plans

• Liaison with external service providers in ensuring VAs can be published within specified time frames; work with Procurement Unit so that access to Career Junction for the posting of external VA is immediately available at all time; and following up on payments to be made;

• Liaison with Heads od Units on selection processes and facilitation of assessments and  interviews;

• Follow up that all interview reports are provided timely; 

• Ensure the efficient and timely collection of confidential references.

• Co-ordinate Local Appointment and Promotions Committee (LAPC) meetings and prepare all necessary LAPC documentation;

• Preparing and issuance of Contracts to successful candidates and providing appropriate feedback to all other assessed/interviewed candidates

• Create, check and maintain personnel files for all staff ensuring all documentation is complete; 

Perform other related duties as required.

STANDARD MINIMUM QUALIFICATIONS

Secondary School education supplemented by Degree/Diploma in Human Resources; Business Administration or related field.
Fluency in both oral and written communication in the English language.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

At least five years of progressively responsible work experience including at least three years in a Human Resources or related field and at least one year at the G5 level or equivalent. 

OTHER SPECIFIC JOB REQUIREMENTS

Experience utilising computers, including word processing and spread sheets. Experience using enterprise resource planning software a strong advantage.
