The EIB, the European Union’s bank is seeking to recruit for its Secretariat General (SG) – Institutional Strategy Department (IS) – EIB External Representation Division (EER), an:

Office Assistant

in the Berlin office

This is a full time position at grade 2/3

The term of this contract will be 3 years

The assignment to an External Office shall, in principle, be for a period of three years. In the interest of the services, the Bank may, at its discretion, offer to prolong the assignment by one, two or three years up to a total maximum duration of six years (including immediately previous stays outside Luxembourg).

Panel interviews are anticipated for beginning/mid-November

Purpose

As an Office Assistant, you will provide secretarial and administrative assistance to the Head of the Berlin Office and to the local Loan Officers.

Operating Network

You will report to the Head of Office.

Accountabilities

Among your responsibilities will be to:

  • Provide administrative support to our Berlin office, assisting the Head of Office and the local loan officers during the lending process and in monitoring projects
  • Provide ad-hoc support to staff travelling through the Berlin Office as required
  • Execute all office administrative tasks, notably handling and following-up of book-keeping and logistics and monthly reporting to Financial Control Department
  • Organise and follow-up diaries, meetings, missions, mail
  • Handle telephone contacts with clients and channel contacts to the appropriate persons within the EIB
  • Type, edit, distribute and file minutes, reports, presentations and other documents
  • Maintain contacts with directorates in Luxembourg
  • Handle and update filing systems and databases
  • Assist in any Protocol related matters and similar activities

 Qualifications

  • Secondary level education, completed with a 2 year certification in a relevant field (secretarial studies, business administration) or secondary level education with equally qualified experience in a relevant field
  • At least 5 years of relevant professional experience
  • Experience with EU policies and procedures would be an advantage
  • Excellent knowledge of the Bank's standard office tools, in particular Serapis, GED, Business Objects and Powerpoint.
  • Excellent command of English and German is a must, a good knowledge of French (*) would be an advantage.

(*) There may be certain flexibility on this requirement, but limited to particularly suitable candidates who may not yet be proficient in French. If selected, such candidates will be hired on the condition that they build up rapidly knowledge of French and accept that their future career in the EIB may be subject to the attainment of sufficient proficiency in both of the Bank's working languages
