Job Description

Founded in 1933, the International Rescue Committee responds to the world’s worst humanitarian crises and helps people to survive and rebuild their lives. Working in coordination with the humanitarian community and the Government of Jordan, the IRC's assistance program for Syrian refugees and vulnerable Jordanians includes both camp-based (Zaatari, Azraq) and urban-based refugee assistance (Mafraq, Ramtha, Irbid, East Amman). The IRC's assistance programs focus on supporting health, ensuring child protection, addressing gender-based violence (GBV) and fostering economic recovery and development (ERD).

The ERD program works to stabilize household economies through protection cash, financial management trainings, and capacity building for income generation for women and youth. Activities target vulnerable populations, particularly women who are at risk of gender-based violence (GBV). Through intensive training courses and targeted financial support, the ERD program builds the employability and business knowledge of these groups to support their self-sufficiency.

SCOPE OF WORK

The ERD program implements a variety of quarterly business, and employment trainings for women and youth as well as business development and mentorship following the training ; conducted by ERD Program Officers in 3 locations in Northern Jordan; Mafraq, Irbid, Ramtha, and East Amman; and a. For all of these training ERD developed a technical training unit to ensure the quality of training doing need assessment, developing curriculums, conducting capacity building trainings for facilitators and staff, doing evaluations for the impact of trainings on beneficiaries and staff.

The primary focus of this position- program assistant will be on supporting the admin work of the technical training unit. The ERD program assistant will also help the startup of the business trainings activities in East Amman, including partner engagement, programme roll out and conducting assessments in support of evidence-based implementation, as needed.

This position will be directly reporting to the ERD head of Technical Training Unit (position title).

RESPONSIBILITIES

Program Implementation and Support

  • Responsible for typing and editing training materials; manuals, presentations, tables, charts, with high quality.
  • Trackeach cohort’s surveying, assessment and evaluation conducted for monitoring the progress on training session implementation and facilitators coaching plan.
  • Maintain a Data Base that is up to date, for tracking all Training of Trainers (ToT’s), Facilitators Learning Circles (FLC’s), meetings, coaching sessions, reflection meeting, and observation visits, etc...
  • Compile and archiving a soft and hard copy file to include all training curriculums, tools, forms, templates, scoring system, evaluation system, facilitator profile file, minute of meeting, reflection sessions notes and action plans, feedback, soft copies TTU- archive in one space.
  • Support the senior and head of technical training unit; in preparing and following up on the minutes of meetings for any ToT’s or training, meeting, reflection sessions, FLC’s, and ensure to save a copy of it in the TTU archive.
  • Arrange the logistics needed: booking venue, refreshments, arranging the training hall for all ToT’s or trainings, meetings, and reflections’ sessions including updating the training inventory lists for: tools, materials and stationaries .
  • Help in translation for all materials.
  • Prepare and updates the training calendars, plans, etc.…; with coordination with head TTU and senior.

coordination

  • Attend relevant coordination groups at the request of the supervisor and ensure meaningful and professional representation of the IRC and the programme at each forum.
  • Build and maintain relationships with staff of partners (if any) in order to get updated information and overcome challenges, coordinate programme implementation and build scale.

Other Duties

  • Refer all individuals who report an incident of GBV to the concerned WPE Focal Points
  • Compile statistics and activity reports if any
  • Participate in regular team meetings and supervision sessions
  • Work constructively within the team and take initiative on new tasks
  • Prepare procurement and purchase requests as needed for program and follow up on it with the support departments
  • Maintain relevant unit files
  • Any other task designated by the supervisor

Qualifications

  • Bachelor or Diploma degree in executive secretary, office management, or any related field.
  • Minimum of 2 years professional experience in typing or office management, or with high speed of typing 70 words/ minute or above, and high quality of typing, editing, presentation, using computer software Microsoft: Word, excel, PowerPoint
  • Strong written and oral communication skills (in English and Arabic), effective in representation and liaison with external parties.
  • Minimum knowledge in the humanitarian sector including: general human rights and refugees issues
  • Personal qualities: Works well in a team and promotes teamwork, comfortable in a multi-cultural environment, strong organization and time management skills, flexible, and able to handle pressure well.
  • Very good in Arabic and English required.

 

WORK ENVIRONMENT: This position will be based in Irbid field office with expected travels between the cities of (Amman, Irbid and Mafraq).
