Admin Assistant ( National Position) - Tripoli

1.      Role and responsibilities

The purpose of the assistant position is to assist in the day to day implementation of the support functions responsibilities. Use actions words such as conduct or assist for the position relevant responsibilities.

Generic responsibilities (max 10)

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

  • Adhere to NRC policies, tools, handbooks and guidelines
  • Assist with the implementation of the support function portfolio according to plan of action
  • Prepare and develop status reports as required by management
  • Ensure proper filing of documents
  • Promote and share ideas for improvement of the support function
  • Liaising with different Libyan authorities
  • Manage international staff and visitor’s visa & travel requirements
  • Performs, under minimal supervision, the full range administration functions
  • Responsible for all matters related to office and housing services & maintenance.
  • Any other task relevant to the position as requested by line manager

Specific responsibilities

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.

·       Organize the office layout and order stationery, supplies and equipment

·       Maintain the office & Guesthouse condition and arrange necessary repairs

·       Partner with HR to update and maintain office policies as necessary

·       Organize office operations and procedures

·       Prepare periodic Admin Reports

·        

Critical interfaces

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:

·       HR and Admin, following up on requests and other related issues.

·       Security unit; on all related security procedures, reporting and communications.

  • Strong command of English, both written and verbal

  • Intermediate computer skills in Microsoft Office (MS Excel, Word, and Outlook)

  • Strong organisational and team work skills
  • Good cultural awareness and sensitivity
  • Highly approachable, trustworthy and confidential
  • Good diplomacy and negotiating skills
  • Ability to work in English (written/spoken)

2. Behavioural competencies (max 6)
