DRC has been operating in the Middle East and North Africa (MENA) region for over a decade, running a combination of emergency, livelihood, protection and advocacy programmes through Country Offices (COs) in Algeria, Libya/Tunisia, Syria, Iraq, Jordan, Lebanon and Turkey with a Regional Office (RO) in Amman. DRC has 17 offices and approximately one thousand staff members across the MENA region. Following an internal HQ restructuring, from 1st January 2018 the region is focusing on the Middle East, hence Algeria, Tunisia and Libya will transition to a new region during the course of 2018, while Yemen will join the Middle East region.
About the job
As Support Services Assistant will be responsible for providing operational support in the following areas; Admin, HR, Supply Chain (Inc. Fleet & Warehouse), other support services matters and overall office management under supervision of Base Manager in Diyala Office. Your main duties and responsibilities will be:
Officer Management/Admin/HR:
• Support with identification, set-up, and day-to-day running of Diyala Field Office in coordination with the Base Manager
• Administrative duties including stocking of office supplies, ensuring that the office is clean and functional for the Diyala team, scheduling, translation (written and in person) and other administrative tasks
• Ensure that there is proper office & guesthouse arrangement working closely with office assistant (Cleaner/s)
• HR responsibilities including time clock/timesheet, preparation of payroll (Facilitating and providing all the necessary information), and other HR tasks in coordination with the Baghdad HR team.
Logistics/Procurement/Fleet Management:
• Support with logistics/procurement tasks including support in obtaining local quotations for supplies, arrangements of deliveries, and local purchases in coordination with Baghdad logistics team
• Responsible for coordinating use of vehicles in Diyala in the most efficient manner in coordination with the field teams and the Baghdad fleet management team
• Maintaining procurement tracker, fleet management report and warehouse checklist under supervision of logistics and Supply Chain Manager in Baghdad
• Consolidate daily/weekly vehicle request from different sections and manage vehicle movement
• Planning and monitoring the receipt, storage, loading and dispatch of goods with program managers
• Ensure that store check is conducted daily, weekly and monthly
• Participate and assist in keeping updated suppliers list
Others:
• Other task as assigned by the Head of Field Office.

To be successful in this role we expect the following:
Required
• 2+ years of relevant experience. Experience in logistics, fleet management, admin and/or HR a plus
• English and Arabic required
• Excellent verbal and written communication skills
• Ability to work in a deadline driven environment and undertake a proactive approach
• Ability to work well with others as part of a team and Strong interpersonal skills and demonstrated ability to establish effective working relations with other stakeholders
Desirable
• Ability to multi-task and organizational skills needed
• Previous experience with an international NGO is a plus
• Fluent in spoken and written Arabic and English
