Job Description

Background/IRC Summary:

The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises and helps people to survive and rebuild their lives. Founded in 1933, the IRC offers lifesaving care and life-changing assistance to refugees forced to flee from war or disaster.

The International Rescue Committee began relief operations in Jordan in 2007. Working together with six national and international organizations, and 19 community-based organizations, the IRC has provided 20,000 vulnerable Iraqi refugees with humanitarian assistance, mental health support and informal education.

Job Overview/Summary:

Under the supervision of the Administration Manager, the Facilities Management – Deputy Manager will support in supervising maintenance and cleaning-related activities at IRC’s premises in Jordan, undertaking activities and perform duties in compliance with IRC policies and procedures to ensure that they meet the needs of the organization and its employees. In addition to recommending and coordinating improvements to the property as needed to ensure a safe, functional, and appealing space.

Major Responsibilities:

  • Maintaining a safe environment with proper lighting, signage, and disability access.
  • Making sure that all emergency plans and evacuation procedures are not violated in any way.
  • Overseeing security, fire prevention, and other safety systems.
  • Requesting and following up with Supply Chain (SC) Department on contracting professionals for repairs as needed according to IRC policies and best practices.
  • Ensuring that all staff members are provided with proper utilities.
  • Daily and full supervision of the cleaners’ team, ensuring all IRC office are well kept, clean and tidy.
  • Being responsible of cleaner’s daily schedules as well as their monthly timesheets.
  • Overseeing and inspecting completed cleaning, repairs and maintenance tasks.
  • Providing training for cleaners as needed.
  • Evaluating employee performance and providing direction, correction, or additional training to ensure proper maintenance of the building
  • Resolving complaints, problems and requests from staff members in relation to the facility management.
  • Assisting with emergency response and evacuation drills.
  • Inspecting facilities frequently for signs of damage or wear and following up on maintaining the good-state of IRC facilities.
  • Raising PRs for maintenance supplies whenever needed.
  • Maintaining updated inventory lists for all needed supplies; kitchen supplies, cleaning materials and maintenance tools, and promptly advise SC department of restocking needs, Oversee kitchen activities with cleaners.
  • Being responsible for the assets inventory of IRC facilities (electrical machines and furniture).
  • Performing all other ad-hoc duties, as and when assigned by supervisor such as raising PRs, proceeding payments checking offices’ needs and other tasks.

Key Working Relationships:

Position Reports to: Administration Manager
Position directly supervises:
10 cleaners

Indirect Reporting: Support Services Coordinator


Qualifications

Education: University Degree in the field of Business administration, management or any other relevant field.

Work Experience: Minimum of 4 years of professional experience in the management of facilities, preferably with an international NGO or multi-national firm.

Demonstrated Skills and Competencies: Self-motivated, honest, highly responsible, and punctual, Ability to improvise and be flexible when needed working under pressure, customer service oriented, problem solving skills, detail oriented, understanding of building codes and safety regulations and excellent communication skills both verbally and in writing.

Language Skills: very good in Arabic and English

IT: Proficiency in Microsoft Office
