Organizational Setting
The main aim of the FAO country office, which is headed by an FAO Representative, is to assist government to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.
 
FAO is implementing and planning a number of projects aimed to strengthen the resilience and socio-economic cohesion amongst Syrians under Temporary Protection (SuTP) and vulnerable host communities in rural areas in Turkey through support to agricultural livelihoods and access to employment in the agri-food sector.
 
Working Relationships
The Office Assistant usually interacts with a wide variety of colleagues within the work unit and with immediate counterparts within and outside of the Organization, providing routine administrative and office support services.
 
Reporting Lines
Under the overall supervision of the FAO Sub-regional Coordinator for Central Asia and FAO Representative in Turkey, direct supervision of the Programme Officer, and in collaboration with FAO Turkey team, the Office Assistant will be responsible for the below mentioned tasks.
 
Technical Focus
The Office Assistant performs a large variety of routine administrative transactions and office support functions contributing to the smooth and efficient running of the work unit.
 
 
Tasks and responsibilities
  • Assist the Project Team in all routine tasks related to office administration;
  • Arrange appointments, receive visitors, place and screen telephone calls and respond to routine requests for information;
  • Make travel and hotel arrangements and prepare travel authorizations/claims for staff as required;
  • Provide office, administrative and logistics support to meetings, events, trainings etc,;
  • Review, record, distribute and process incoming mail and correspondence; follow-up on pending actions;
  • Draft routine correspondence, including letters and minutes of meetings as directed;
  • Initiate and maintain a contact list of relevant project stakeholders, including government officials, international and national NGOs;
  • Facilitate project communication with and government, donors, partners from/into local languages;
  • Undertake petty cash holder responsibilities as needed in line with corporate policies and procedures;
  • Initiate general administrative tasks in the corporate financial / travel / human resources systems;
  • Provide assistance in the administrative processing of vacancy announcements and consultants' contracts;
  • Assist in inventory and assets management for the project in close consultation with the country office;
  • Act as custodian of office stationery supplies including maintenance of stock list of stationery, distribution of stationery as required by staff and keeping a log of distribution;
  • Ensure fleet management, monthly monitoring of logbooks, fuel consumption, and recording of the same in COIN;
  • Undertake occasional duty travel and perform other duties as required.
 
 
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
 
Minimum Requirements   
  • Secondary school education certificate
  • Three years of secretarial/clerical experience (with experience in programme/project matters with international organisations being desirable, and knowledge of UN system an asset)
  • Working knowledge of English and fluency in Turkish
