Organizational Context

The United Nations Industrial Development Organization (UNIDO) is the specialized agency of the United Nations that promotes industrial development for poverty reduction, inclusive globalization and environmental sustainability. The mission of UNIDO, as described in the Lima Declaration adopted at the fifteenth session of the UNIDO General Conference in 2013, is to promote and accelerate inclusive and sustainable industrial development (ISID) in Member States. The relevance of ISID as an integrated approach to all three pillars of sustainable development is recognized by the 2030 Agenda for Sustainable Development and the related Sustainable Development Goals (SDGs), which will frame United Nations and country efforts towards sustainable development in the next fifteen years. UNIDO’s mandate is fully recognized in SDG-9, which calls to “Build resilient infrastructure, promote inclusive and sustainable industrialization and foster innovation”. The relevance of ISID, however, applies in greater or lesser extent to all SDGs. Accordingly, the Organization’s programmatic focus is structured in four strategic priorities: Creating shared prosperity; Advancing economic competitiveness; Safeguarding the environment; and Strengthening knowledge and institutions. Each of these programmatic fields of activity contains a number of individual programmes, which are implemented in a holistic manner to achieve effective outcomes and impacts through UNIDO’s four enabling functions: (i) technical cooperation; (ii) analytical and research functions and policy advisory services; (iii) normative functions and standards and quality-related activities; and (iv) convening and partnerships for knowledge transfer, networking and industrial cooperation. Such core functions are carried out in Departments/Offices in its Headquarters, Regional Offices and Hubs and Country Offices.

The position is located in the General Services and Logistics Division of the Department of Operational Support Services, in the Directorate of Corporate Management and Operations (CMO/OSS/GSL). The Division supports the core mandate of UNIDO through the provision of communications, inventory and records management, archives and registry, travel, visa, transportation and shipment services, as well as managing catering services at the Vienna International Center (VIC).

At the G4 level the incumbent is expected to perform general as well as targeted processes focusing on basic service delivery and support services within the organizational environment and the team. His/Her interventions result in focused process impact. The UNIDO Staff Performance Management System reinforces the collaboration within formal units, as well as among cross/functional teams. In this context, the incumbent collaborates with his/her supervisor and colleagues, within as well as outside the Department. Within the formal teams, the incumbent may be expected to backup other team members as required.

Main Functions

Under the supervision of the Chief, CMO/OSS/GSL, the Team Assistant is the main operator of the UNIDO switchboard, thus manages the requests for teleconferences; serves as the focal point for ordering and issuances of mobile devices and supports the related administrative work for such communication services. The specific expectations of the job are outlined below. - Switchboard: Be technically savvy to serve as the administrator of the UNIDO Switchboard and the coordination of access and codes for audio conferences involving multi-stakeholders; be pleasant and personable to handle all incoming and outgoing voice calls received; be resourceful in order to trouble shoot and solve problems voiced over the switchboard; and be knowledgeable about UNIDO’s work in order to effectively serve as the first respondent to general queries. - Mobile Devices: Possess the aptitude for handling procurement contracts related to modern mobile devices such as phones and tablets to be able to converse effectively with service providers, including negotiating preferential packages; be technically savvy to assist and guide internal clients issued with such devices; be meticulous, diligent and organized to monitor the cost effective usage and billings of official and personal calls, sensitively but firmly issuing reminders when required; be curious in reading technological trends in mobile devices to be able to recommend improvements in the services provided; and be innovative in recommending user-friendly and cost effective solutions particularly for UNIDO travelers and field offices. - Other Communication Services: Be adaptable, flexible and cooperative to be able to assist other colleagues with other online communication and delivery services such as couriers and video conferences; be focused and mindful of deadlines for processing administrative actions related to his/her areas of responsibilities; and be a team player to be able to work efficiently and smoothly with teams in GSL, in BMS, in FIN and other service areas.

Minimum Requirements

Education

Completed higher secondary education. High school diploma or equivalent is required. Higher levels of educational traning in a related area would be an asset.

Languages

Fluency in written and spoken English is required. Fluency or working knowledge of another official UN language is desirable.

Computer Skills

Field of Expertise

A minimum of 6 years of working experience in related fields of the post. An understanding of common norms and practices of professional office environment, preferably within the UN system or in a multicultural environment. Experience with SAP or similar ERP software is an asset. Credit towards total working experience may be considered on a year by-year- basis, up to maximum of four years, for a first university degree or equivalent diploma, in a field relevant to the post. NOTE: Eligible internal UNIDO applicants are required to have served at least one year in his or her current post. However, the seniority-in-grade requirements for applying for higher level positions, as per paragraphs 18 and 78 of the HRMF, have been waived. In the cases of internal applicants, comparable qualifications and experience in UNIDO may be considered to take into account the potential of candidates
