Background

Under the overall guidance and supervision of the Chief Security Adviser (CSA), Deputy Chief Security Adviser (DCSA) and FSCO, the Identification and Access Programme Assistant implements tasks related to the UN Identification programme management, maintenance of UN personnel lists and fulfill other related duties.

Duties and Responsibilities

  • Issue ID cards in accordance with UN Standard Operating Procedures;
  • Receive requests from all UN Agencies, Funds, Programs and Organizations (AFPO) in Syria for UN identification cards processing;
  • Program access privileges to ID cards;
  • Maintain up-to-date ID card database;
  • Ensure that all ID cards producing equipment and software is in good order and runs smoothly;
  • Maintain UN personnel lists for all UN AFPOs operating in Syria as required;
  • Maintain warden lists and keep an update of information related to UN personnel residences;
  • Arrange appointments, receive visitors, places and screen telephone calls and answer queries with discretion;
  • Maintain up-to-date lists of AFPO authorized signatures;
  • Verify the integrity of documents;
  • Responds to sensitive and confidential issues that require a high level of discretion;
  • Compiles information into files and reports for administrative references;
  • Maintains the Clerk's Office items;
  • Provide general administrative assistance to the CSA/DCSA/FSCO;
  • Communicate information to UN personnel as required;
  • Maintain up-to-date contact list;
  • Operate the SMS advisory notification software;
  • Responds to UN Staff questions about Identification and Access Programme policies and procedures;
  • Fulfill any other functions/duties assigned by the CSA/DCSA/FSCO.

Required Skills and Experience

Education:

  • A first level university Degree in IT or, or Secondary education. 

Experience:

  • with 2 years of experience in security or IT context or related field of work. Prior experience with the UN system or an international NGO is an advantage.
  • Or HS with at least 5 years’ experience in security or IT context or related field of work. Prior experience with the UN system or an international NGO is an advantage.

Language Requirements:

  • Fluency in verbal and written Arabic and English languages.

Other Skills and Requirements:

  • Knowledge of ID card management.
  • Experience in diplomatic security, protection and intelligence considered an asset.
  • Solid computers skills (MS Word, Excel, Access and Power Point).
  • Precise verbal and written communication, with particular attention to details.
  • Ability to learn and to operate new software;
  • Ability to travel.
