Assistant -Laos Country Program

The Assistant will provide administrative, logistical support and office management for the timely implementation and ensures consistent quality across the Lao country program. The Assistant will report to Country Representative and work closely with the Associate.

 

Purpose 

The main role of Assistant is to provide overall administrative, logistical support and office management to the Lao country program as well as provide technical support to the team as needed, such as research in related topics.  The position is also expected to facilitate and ensure effective delivery of operational functions and services in relation to GGGI’s activities.

 

 

 

Engagement

 

  • Supports program activities with preparation for, organization of, or processing of meetings and/or workshops;
  • Provides general support to the program activities where necessary
  • Updates the Country Team, and/or Program Unit on project status and up to date data repository and document archives, asset inventory, and maintain stakeholder contacts;
  • Supports all procurement processes and recruitment related activities;
  • Explains logistics procedures and requirements for external partners who participate in GGGI workshops and meetings;
  • Explains the procedures, policies and tools of all operational transactions for project/output delivery in line with GGGI protocols and GoL policies; 
  • Assists in the preparation of briefing materials, presentations and reports;
  • Liaises and develops relationships with partners and stakeholders whenever necessary.

 

Delivery 

 

  • Generate and maintain an up to date program data repository of the country program by compiling, cleaning, sorting out and calibrating all program related data including monitoring of the work plan and budget;
  • Compile and file all program related documents for document archives (inventory, library) both electronically (soft copies of final deliverables on share point) and as hard copies;
  • Support program activities with preparation for, or processing of, meetings or workshops;
  • Support in the preparation of internal coordination meetings including note taking;
  • Provide logistics arrangements in respect to workshops, meetings and missions;
  • Provide general support to the program activities whenever necessary including translation services to support effective project implementation;
  • Assist in the verification of receipt and accuracy of documents, approvals, signatures to ensure compliance with relevant legal, financial and other requirements.

 

Qualification 

 

  • A Bachelors degree in relevant field or equivalent experience;
  • 1 – 3 years of relevant administrative work experience would be an asset;
  • Understanding of official protocols and government processes in Lao PDR;
  • Demonstrated ability to use web-based administrative systems and MS Office;
  • A passion for green and/or low carbon development;
  • Strong oral and written English, fluency in Lao and ability to translate between the two languages is essential;
  • A proactive attitude, with an ability to innovate in finding solutions;
  • Highly organized with a keen eye for detail and the ability to multi-task;
  • Ability to work under pressure and meet tight deadlines;
  • Strong interpersonal skills and the ability to work with multi-cultural and multidisciplinary teams;
