Under the general guidance of the Director, Supply Division, this post is responsible for managing the efficient operation of the Director’s office in all critical aspects of work in programme planning, advocacy, external relations and management support through coordination, planning, support to policy development, and quality assurance of public engagements, speeches and presentations.

Key functions, accountabilities and related duties/tasks:

  1. Manage efficient operations and procedures for the Supply Division (SD) Director’s Office, including Director’s Office support staff, to ensure timely execution of tasks and smooth liaison vis-à-vis with other parts of the Division, other parts of the Organization, and external contacts.

  2. Advise and support the Director, SD on sensitive areas requiring action. As appropriate, consult and seek the opinion of SD Management, Division Directors and Regional Directors on priority and policy-related issues. Review and provide input into policy documents and directives as required.

  3. Coordinate and participate in meetings and special events involving the Director with senior staff and external visitors. Prepare summary conclusions on such meetings, as requested. Ensure follow-up actions are monitored and brought to the attention of the Director.

  4. Review incoming correspondence, messages and documentation, in collaboration with the Executive Associate. Apprise the Director and/or Deputies of urgent and important issues. Draft correspondence on a variety of matters on behalf of the Director. Perform reviews and quality checks to expedite review by the Director for SD documents, speeches and publications as required.

  5. Support the management of the Division’s audit activities, including reviewing responses to internal and external audits, evaluations and other assessments and advise the Director in terms of follow-up and risks.

  6. In preparation for speeches, presentations and public appearances by Director (e.g. GMT, RMT Field Visits and external engagements), coordinate the preparation and drafting of briefing materials and programme content as needed.  Review supporting materials and draft texts provided by the substantive focal point(s), undertake further research if required, finalise, and provide quality assurance. Coordinate briefings for the Director in advance of engagements, as needed, in collaboration with the Executive Associate.

  7. Support the oversight of Division’s planning and reporting activities, including annual work plans and reviews, Office Management Plan (including Mid-Term Review), and inputs to other strategic moments of reflection.

  8. Liaise with the SD Management Team, including raising key issues for information or input, and managing agendas for regular meetings and other special events, and production of minutes of the weekly management team meetings, in collaboration with the Executive Officer.

  9. At the request of the Director, support special Divisional activities and initiatives, including those aimed at influencing global and local markets for existing and future products/services. Support other strategic partnership activities as required.

    Education:

  • A completed advanced university degree (Master’s degree) in public affairs, public health, international relations, social sciences, communication or other related discipline is required.

Experience:

  • At least eight (8) years of relevant professional and managerial experience at the national and international levels in external relations, program management and/or multilateralism is required.
  • Good knowledge of UN and UNICEF policies, systems, procedures and operations is required.
  • Excellent writing skills are required.
  • UNICEF experience in working with external multilateral and bilateral partners and allies in international development cooperation an advantage.

Language:

  • Fluency in English required.
  • Proficiency in another UN language is an asset.
