Location: International Office Innsbruck/Austria

Mission

The Executive Assistant to the International Director Programme & Strategy supports the International Director in his leadership role by ensuring smooth and efficient processing of administrative and organisational tasks. He/she is the first contact point and information hub for the different teams and networks within the competence centre. The incumbent is responsible for the organisation and logistics of meetings hosted by the Office of the International Director and works in close collaboration with other relevant team members.

Tasks and Responsibilities
  • Manages required administrative and organisational tasks (e.g. time schedules, tasks, correspondence, documentation and filing, minutes, competence centre communication)
  • Manages HR and finance administration across the competence centre
  • Organises meetings (agenda setting, planning, design, execution, documentation), including facilitation of competence centre management meetings
  • Maintaining and supporting relevant networks (ICC PS mgmt. team, Programme network)
  • Supports the International Director regarding communication within the competence centre, with other competence centres and with the line
  • Supports the coordination of strategic planning, support planning, individual planning and review processes within the competence centre (check and coordinate with team leaders)
  • Guides management support and other staff as assigned who work with the International Director Programme & Strategy
Requirements
  • Bachelor's degree in business administration or other relevant subject area or relevant technical diploma/certification in Office/Business Management with considerable relevant experience
  • At least 3 to 5 years of professional experience in a relevant setting
  • Experience in financial and HR administration including strong organisational skills and demonstrated ability to multitask and judge priorities under tight deadlines
  • Demonstrated ability to ensure total discretion, confidentiality and strong personal skills
  • Experience in dealing with senior officials/stakeholders inside and outside the organization, ideally in a non-profit setting
  • Experience working in a team within a multicultural setting and demonstrated ability to communicate and interact responsively and tactfully with staff at all levels with a high level of professionalism diplomacy and discretion
  • Used to work independently and proactively using sound judgment and problem-solving skills in dealing with unexpected situations often within tight deadlines
  • Oral and written fluency in English (ability to draft high quality letters and reports); German language skills is a distinct added value, French and/or Spanish an added value
  • Highly proficient in the use of Microsoft Office tools (PowerPoint, Excel, Word, Outlook)
  • Strong work ethics with a professional outlook and high levels of discretion
  • Applicants must hold a valid Austrian working permit or be eligible to work within the EU
