Organizational Setting

The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist Governments to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.

Reporting Lines

Under the direct supervision of the Logistics Specialist and the general supervision of the Head of Administration the Logistics Associate is responsible for Logistics support, planning, coordinating and implementing logistics activities for a FAO Offices/ Representation. Specifically, the incumbent will.

Technical Focus

- Prepare goods transportation services/plans and submitted to the logistics Officer
 -Review weekly warehouse update reports in Juba and field offices level
 -Undertake data entry of warehouse documents to record electronically the stock levels and movement of goods into and out of the utilizing FAO systems as required.
 -Ensure signed waybills are received from consignees
 -Work closely with the storekeepers, prepare weekly and monthly goods receipt report/goods dispatched report and submitted to the Logistics Officer

Follow up the payments of the contracted companies for transportation services of FAO

Tasks and responsibilities\:

The following are my key duties and responsibilities for Logistics support, planning, coordinating and implementing logistics activities for a FAO Juba Head Office and Field offices\:-

 -Provide logistics support for the receipt and distribution of livelihood inputs and other assets procured under various FAO projects/program in South Sudan
 -Be in charge of transportation of goods to the field offices by air, road and river and supervise the storekeepers work- as in Liaising with FAO transporters under the LTA for vehicle hire and transportation services whenever there are requirements
 -Ensure that logistic activities are carried out in time to support field project activities
 -Prepare goods transportation services/plans and submitted to the logistics Officer
 -Prepare and updating the daily tracking reports in Juba and other hubs and submit them to Log Officer in weekly base
 -Review weekly warehouse update reports in Juba and field offices level
 -Undertake data entry of warehouse documents to record electronically the stock levels and movement of goods into and out of the utilizing FAO systems as required
 -Ensure signed waybills are received from consignees
 -Ensure the filing system in logistics unit is properly arranged
 -Work closely with Asset Clerk that Assets and warehouses inventory are regularly updated
 -Arrange Customs Clearance in Juba and transportation for the goods arrived from Juba airport Customs store to FAO warehouses
 -Work closely with the storekeepers, prepare weekly and monthly goods receipt report/goods dispatched report and submitted to the Logistics Officer
 -Submit monthly receipts report for all goods/ services received
 -Follow up the payments of the contracted companies for transportation services of FAO
 -Perform other duties as requested by the supervisor

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements
 -Advanced University Degree (for COF.REG)/ Bachelor’s Degree (for PSAs) in procurement and supplies chain management, Logistics, Finance, Public Administration or any other related field.
 -At least six years of work experience in supply management, customs, insurance or logistical support, customs clearance and delivery of goods and commodities by air, land and sea transportation. Private sector experience in comparable institution is desirable.
 -Working knowledge of English in both written and verbal, plus limited knowledge of one of the other FAO languages\: French, Spanish, Arabic, Chinese, Russian (preferably Arabic) for COF.REG. Working knowledge of English for PSAs;
