Job Description
SCOPE OF WORK: Based in Yangon, with extensive travel to sites where IRC projects are implemented, this position will be responsible to take the administrative tasks for the sub- grants team.
Reporting to the Sub-Grants Manager, this position will work closely with relevant Programs, Grants, Finance, Operations, and other sub-grant unit staff on sub-award management.
KEY RESPONSIBILITIES:
- Assist the day-to-day functions of the Sub-Grants team
- Assist in pre-award vetting and pre-award assessments document process
- Support quality control and finalisation of all relevant pre-award documentation and ensure information available on OTIS and shared folders
- Support prepare T7 requests and processing following IRC guidelines
- Maintain partner contact lists and other information
- Maintain trackers such as audit, reporting, reconciliation and monitoring
- Managing stationery supply in sub-grants team
- Maintain financial documents and files related to sub-grants management, including electronic and printed materials
- Assist in maintaining of proper control of the supporting documents for payments and financial reports
- Ensure that all financial records, files and all supporting documents are kept systemically and neatly
- Scan supporting documents of financial transactions guided by the Sub-Grants Manager
- Mails delivering to the partner offices
- Receive and screen correspondence, telephone calls and visitors
- Assist unit to prepare such as logistics, training, meetings, transportation, travel arrangement
- Assist in internal and external audit process

Other duties may be necessary from time to time on an occasional basis and able to carry out as assigned
Qualifications
- Bachelor's degree in relevant discipline
- At least one year experience in related field
- Adaptable and able to work under pressure on a different number of tasks
- Ability to travel to the project locations
- Ability to work within a team, proactively and independently
- Good personal organizational skills, including time management, and ability to meet deadlines
- Basic knowledge of English communication skills, both written and verbal
- Good working knowledge and skill on computer especially in MS software
Myanmar nationals with relevant skills sets and proven
experience of working at international level are strongly encouraged.
