JOB PURPOSE

We are looking for an enthusiastic and experienced candidate to take the role of Administration Officer at the World Food Programme Regional Bureau Cairo, to support the delivery of quality, customer-focused, value for money administrative services that enable staff in country/location operations to deliver food assistance to beneficiaries, in line with WFP’s strategy.

This is a hands-on role where the successful candidate will be responsible for handling the day to day administration tasks within the Administration Unit and provide a high standard of support to our regional office.

KEY ACCOUNTABILITIES (not all-inclusive)
  1. Contribute to a WFP regional plan, including administrative processes, aligned with WFP strategies and policies to facilitate efficient and effective administration services.   
  2. Support the development of annual plans and implementation of administration policies, systems and procedures to support WFP strategic objectives.
  3. Organize and implement all administrative duties and the daily routine in the area of responsibility, while implementing customer service standards.
  4. Plan and coordinate administrative procedures and devise ways to streamline processes.
  5. Determine the administration issues and resolve them for smooth office operations.
  6. Maintain the partnership with WFP stakeholders, other UN agencies and local government offices.
  7. Facilitate the compliance of the services provided (e.g. WFP managed facilities, assets and travel management, etc.) with WFP standards.
  8. Support a culture of environmental sustainability throughout WFP by role modelling actions that drive sustainability in all administrative activities.
  9. Support management of existing resources in the area of responsibility (e.g. WFP managed facilities, assets and travel management, etc.) and assist in identification of new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services.
  10. Guide and supervise junior staff, acting as a point of referral, supporting them with analysis and queries, and coaching them to ensure maximum efficiency.
  11. Collate data and prepare data analysis to provide management and other internal customers with accurate information and reports for efficient planning and decision-making.
  12. Follow standard emergency preparedness practices to ensure WFP is able to quickly respond and deploy food and needed resources to affected areas at the onset of the crisis.

STANDARD MINIMUM QUALIFICATIONS

Education:

University degree in Business/Public Administration, Engineering, or other relevant field relating to office management and administration. 

Experience:

  • Minimum 5 years of professional experience in administration or related field. 
     

Knowledge & Skills:

  • Excellent organizational and multitasking abilities
  • MS Office proficiency
  • An analytical mind and problem-solving skills
  • Effective team-working and leadership skills
  • Familiarity with financial and facilities management principles is desirable.
     

Languages:

Fluency (level C) in English & Arabic.
