STANDARD MINIMUM QUALIFICATIONS

Education:  Completion of secondary school education. A post-secondary certificate in the related functional area.

Experience: At least five years of progressively responsible support experience in procurement, logistics, accounting, customer service or other related field with at least one year in the humanitarian response and/or customer services.

Language:  Fluency in both oral and written communication in English. Knowledge of a second UN language (Arabic, French, or Spanish) is an added asset.

ORGANIZATIONAL CONTEXT

Under the overall guidance of the UNHRD HUB Manager/Head of Supply Chain Manager and direct supervision of the Supply Chain Officer, the Supplier Chain Associate will be responsible to collaborate with our humanitarian and development partners to define their needs across global organizations with interest in the Middle East, Asia and Africa. This includes gathering and analyzing information, formulating and testing hypotheses relating to humanitarian needs/trends. Developing tailor-made solutions, presenting them to the program teams/management and working closely with partners to ensure positive impact and sustainable results.

JOB PURPOSE

To coordinate and control a full range of business support services for a specific professional area of work, to ensure that services are delivered effectively.  

Job Title: Supply Chain Associate (Customer Services)

Level: SC 6

Salary: Starting from AED 17,820.29 per month (inclusive of pension), plus medical insurance and other entitlements.  

Duration of Employment: 12 months with possibility of extension

KEY ACCOUNTABILITIES (not all-inclusive)
  • Acts as a primary Focal Point / Front Desk for any request from the Humanitarian Organizations requiring services from UNHRD. 
  • Perform and monitor office communications and act as an escalation point for complex business queries, to ensure priorities and urgent matters are identified and addressed, and that consistent and quality services are delivered to partners
  • Comply with order process operations as per standard UNHRD Standard Operating Procedure (SOP)
  • Responsible for project management of partners’ requests for specific development projects from sourcing, delivery of goods and follow-up on after sales issues
  • Together with technical teams create, update and maintain compliance documents to reflect turnkey solutions fit for the different humanitarian markets that we serve for all base “On demand” items.
  • Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
  • Provide a full range of complex business support services to staff to contribute to the effective functioning of business operations.
  • Responsible for the coordination with all other hubs for prepositioning and onward shipment of EX Works procured items. 
  • Liaise with procurement and logistics on route mapping for pickup and onward delivery of transshipments.
  • Provide advice, support and/or training to junior support staff in the provision of business support services, in order to support their learning in providing business support
  • Process order transactions in WINGS
  • Maintain a record of partners’ transaction, feedback, preferences and challenges for generation of analytical reports on projects
  • Conduct market research on new products/technologies available in the market
  • Together with UNHRD Head Quarters work on an up to date product catalogue
  • Represent UNHRD Dubai in humanitarian forums with a focus on establishing relationships with key decision makers.
  • Based on the Market Plan, undertake missions to target humanitarian areas to understand the needs of the partners.   Adapts presentation content, level of language and /or complexity of content to audience.
  • Establishes and maintain productive partnerships with partners by gaining their trust and respect; monitors on-going developments inside and outside partners’ environment to keep informed and anticipate problems
  • Together with partners identify and define their needs: technical equipment, services associated and after sales available in their region
  • Proactively identify new business lines based on opportunities for partnerships, available supplier base and partners in the humanitarian world

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
  • Knowledge of WFP regulations, rules and policies and procedures in the area of work.
  • Practical knowledge ERP system.
  • Specialised knowledge of the application of common business processes, practical business support methods, procedures and systems used in area of work, gained through technical training and work experience.
