1.     Organizational Context

 

  1. Organizational Setting

     

    The post is located in the Medical Unit, Human Resources Management Department (HRMD).  HRMD aims to ensure that WIPO has the human resources necessary to fulfill the Organization's mandate, through working in strategic and operational partnerships with all sectors of the Organization, and providing a professional environment for the staff with good employment practices in a client-oriented and efficient manner.

     

  2. Purpose Statement

     

    The incumbent provides a range of secretarial and office support functions towards the smooth running of the Medical Unit, particularly to the Senior Medical Adviser and Nurse.

     

  3. Reporting Lines

     

    The incumbent works under the supervision of the Senior Medical Adviser and / or the medical consultant, in coordination with the Nurse.

     

  4. Work Relations

     

    The incumbent liaises frequently with concerned work units throughout the Organization on the follow-up of HR administrative actions.

     

     

2.      Duties and Responsibilities

 

The incumbent will perform the following principal duties\:

 

a.   Record, monitor and follow up on the receipt of documents related to medical certification, sick leave, staff missions, medical clearances, entry examinations to ensure accurate and complete files for staff members.

 

b.   Maintain and update files (paper and electronic) and databases for Unit, including for sick leave.

 

c.   Extract and summarize confidential information for medico administrative purposes.

 

d.   Work in close collaboration with partners, suppliers and vendors to share information and follow up on administrative matters (proposals, validation, logistics and requisitions).

 

e.   Provide logistical support for meetings, including scheduling, preparing agreed agendas and drafting minutes.

 

f.    Draft responses to a range of standard correspondence.

 

g.   Screen, prioritize, identify medico-administrative issues and brings sensitive and urgent matters to the attention of Officers or orientate the request to the appropriate staff.  Receive, classify and determine order of priority incoming confidential mails and requests related to medico-administrative issues from staff members.

 

h.   Perform basic searches for information on as requested by the Doctor or the medical consultant to support the drafting of recommendations medico administrative reports.

 

i.    Perform other job-related duties (meeting organization reservations, updating the doctor's agenda, administrative information search).

 

 

3.      Requirements

 

Education

Essential

Completion of secondary education.

 

Experience

Essential

At least thee years of office support experience.  Experience working with an ERP system.

 

Desirable

Experience working with sensitive and confidential information, or experience working in a medical environment.

 

Language

Essential

Excellent knowledge of written and spoken English and French.

 

Desirable

Knowledge of and ability to work in other official UN languages.

5.         Information


Mobility\:  WIPO staff members are international civil servants subject to the authority of the Director General and may be assigned to any activities of the Organization. Accordingly, the selected candidate may be required to move from time to time to new functions.

 

Annual salary (Net of tax)\:  68,605 CHF

Additional Information

 

Initial period of one year, renewable, subject to satisfactory performance.  No fixed-term appointment or any extension hereof shall carry with it any expectancy of, nor imply any right to, (further) extensions or conversion to a permanent appointment.

 

Dependency allowances

7,939 CHF per year for dependent spouse;  6,398 CHF per year for each dependent child.

 

Language allowance

Arabic, Chinese, English, French, German, Japanese, Korean, Portuguese, Russian and Spanish\: 4,788 CHF per year for two of these languages, and 3,192 CHF per year for one of them.  The allowance is not payable for the mother tongue or the main working language of the staff member.  The grant of this allowance is subject to examination.

 

General Service posts are generally subject to local recruitment.  Staff in the General Service category is recruited in the host country or within reasonable commuting distance of the Headquarters.
