Supply Division in Copenhagen is looking for an HR Assistant (temporary position) for our Learning & Development Team.

This temporary position is located within the Learning & Development Team based at the Human Resource Centre. The role is instrumental in supporting the implementation of learning initiatives and is part of Supply Division’s strategic vision to strengthen the professional capacity of UNICEF Supply Community (i.e. supply and logistics staff) globally.

 

How can you make a difference?

Under the supervision of the Learning & Development (L&D) Specialist, the HR Assistant (Learning & Development) provides administrative and LMS support with the delivery of global and local learning initiatives for UNICEF Supply staff in the context of the Professional Learning & Development Strategy and Implementation Plan.

 

Summary of key functions/accountabilities:

Provides support with the implementation of training activities in Supply Division and the Global Supply Community:

  • Assists in organizing a range of face-to-face learning events, workshops and online activities
  • Compiles, prepares and updates training materials and practicalities (presentation material, agenda, list of participants, evaluations and reports)
  • Provides administrative and technical support and advice to the organization of internal knowledge sharing sessions and webinars and other Learning Solutions like video tutorials, blended learning solutions, creation of job aids, etc.
  • Supports the identification of external trainers for initial assessment of curricula and practical arrangements
  • Provides support with travel arrangements and practical arrangements for global participants
  • Monitors and updates learning content on UNICEF’s Learning and Development platform (AGORA), uses different functionalities of the LMS platform for course administration, evaluation and reporting
  • Pro-actively engages with Supply Division’s intranet platform and Yammer Supply Community channel to communicate and share information related to Learning initiatives
  • Stays current and engaged in the Knowledge Exchange and Career Development streams of the Supply Community strategy
  • Prepares evaluations, drafts quantitative and qualitative reports, and analysis of training activities in line with Learning KPIs
  • Coordinates logistical arrangements for Supply staff attending off-site training events 
  • Monitor L&D budget expenditures in close collaboration with the HRC budget focal point

 

Provides general administrative assistance:

  • Manages learning events calendar
  • Provides practical arrangements related to Learning events and Workshops
  • Prepares periodic reports on learning for e.g. UNICEF Human Resources Division in New York, annual reports, and ad hoc reports
  • Serves as Secretary to the Supply Division’s Learning Committee and assists with required follow-ups
  • Maintains data on training initiatives, prepares statistics and training reports and evaluations
  • Maintains inventory of learning materials
  • Provides practical assistance to users on learning options
  • Maintains intranet pages on learning and development
  • Back stops the other Human Resource Assistants (Learning) as necessary
  • Any other tasks supporting the coordination and implementation of learning activities as defined by the supervisor.

 

To qualify as an advocate for every child you will have…

Requirements:

  • Completion of secondary education
  • Five years of working experience in the area of support to online and face-to-face learning programmes, knowledge sharing, coordinating of events or similar activities, preferably with English as the working language
  • Strong knowledge and experience in MS Office (particularly Excel), Office 365 package and Learning Management Systems.
  • Fluency in English
  • Valid work permit and residency in Denmark at the time of submitting the application. Note that the selected candidate is responsible for obtaining any required extension of their residency permit as an extension cannot be dependent on an employment with UNICEF.

Desirables:

  • Relevant courses with focus on online and face-to-face learning or staff development
  • Experience in the use of MS Team Sites and Yammer
  • Fluency in an additional UN language, preferably French
