Job Description:

The Finance Assistant works in the Corporate Financial Management Unit providing assistance to a range of activities related to accounting, business partner management, documents management and control of financial reports and processes.

S/heissupervisedfunctionallybytheFinanceOfficersforAccounting,ReportingandFinancialAnalysis, Planning and Controlling for their respective areas of work and disciplinarily by the Head of Corporate Financial Management.

TheincumbentcarriesoutthefollowingtasksandresponsibilitiesinlinewiththeFinancialRegulations

of ICMPD and the relevant policies, rules and business processes and guidance of the supervisor(s): Tasks and Responsibilities:

1. Accounting:

Support to posting of travel claims and vouchers and other accounting documents. 2. Business Partner Management:

Validation of data and information of business partner registration document according to established procedures and checklist;

Verification of bank details of suppliers, request additional information or clarifications as required;

Set up and update of business partner profiles in SAP.

13. Support to Regional/Project Office Processes and Documents Management: Support to financial reporting to Project/Regional Offices – collecting reports, following up on deadlines, checking reports for completeness of information and supporting documents; Support to VAT processes in Project/Regional Offices - collecting reports, following up on deadlines, checking reports for completeness of information and supporting documents; Support to documentation and archiving in Project/Regional Offices – provision of guidelines, follow up, response to questions.

4. Support to Documentation & Accounting Archive in HQ:

Maintenance of the institutional accounting archive (physical and e-archive) – timely filing of all documentation according to the established system;

Compilingdocumentationforauditsandreports–lookingupdocuments,makingcopies,scanning, compiling folders, handling mailing/courier;

Compiling documentation for payments and sending payment documentsto banks (fax,email and mail).

5. Provide any other assistance in the Unit, as requested:

Key Results:

Correct and timely publication of travel claims and vouchers;

Validated and corrected business partner profiles uploaded in SAP;

Regional/Project office financial reporting and VAT processes collated and checked in an accurate and timely manner;

Documentation compiled correctly and in a timely manner;

Physical and electronic archive maintained correctly, in-line with the established system. Incumbent Profile:

A minimum of 2 years’ position-relevant experience in the financial management field; Knowledge of ERP systems – knowledge of SAP is an asset;

Good organisational skills with attention to detail and accuracy;

Experience in management conflicting priorities and working with tight deadlines; Strong team work and interpersonal skills;

Excellent command of standard MS-Office software – particularly excel. Corporate Qualifications:

Bachelor’s degree in accounting, finance, audit, economics, or business administration; Experience at an international level;

Proficiency in (verbal/written) English, proficiency in a major EU language, Russian, or Arabic is an asset.

Compensation:

ICMPD offers a monthly gross salary to be calculated based on qualifications and experience. Additional benefits include Health and Accident Insurance and six weeks’ annual leave. Application Procedure:
