Job Description:

The Associate Finance Officer provides assistance to a range of activities related to accounting, bank and cash management, business partner management and documents management. TheincumbentcarriesoutthefollowingtasksandresponsibilitiesinlinewiththeFinancialRegulations of ICMPD and the relevant policies, rules business processes and guidance of the supervisor(s). Tasks and Responsibilities:

1. Accounting

Carry out general daily accounting tasks;

Process accounts payable (AP) by releasing booking entries in SAP;

Receive incoming supplier invoices / payment and travel claims, check accuracy and modify as required, of booking entries and entry wordings, VAT provisions and financial accounts; Process re-bookings and corrections. Resolve queries with staff, suppliers and business partners;

Book incoming invoices, travel claims, internal vouchers, depreciations and amortizations charges;

Ensure attaching the related documents to the associated entries and archiving the invoices; Maintain and manage accounting documentation (physical & e-documentation) and archive; Book VAT returns. Reconcile VAT accounts;

Book General Operating Expenses (GOE), project overheads;

Monitor, control and reconciles credit card payments and report on unreconciled items for further action. Control and book credit card statements;

Processing and booking cash expenditure reports. Verify supporting documents; 1 Posting adjusting entries and corrections as requested. Assistance with the year-end accounts closures;

Reviewing transactions posted on general ledgers.

2. Support to Regional/Project Office Financial Reports Management

Monitor submission of financial reports from Regional/Project Offices. Check accuracy, completenessof supporting documents. Analysecostsand propostheappropriate accounting treatment. Posting petty cash and bank statements from Project/Regional Offices; Reconcile reports, match balances, and follow up with unreconciled items and pending reports.

3. Business partner management and petty cash Vienna administration

Process cash payments and issue cheques for HQ.

Act as petty cash custodian for HQ Vienna. Process and record payments from the petty cash. Carry out monthly reconciliation of the HQ petty cash account. Conduct cash count and reconcile.

Validation of data and information of business partner registration document according to established procedures and checklist;

Verification of bank details of suppliers, request additional information or clarifications as required;

Set up and update of business partner profiles in SAP.

Key Results:

Accurate and timely day-to-day processing, verification and recording of invoices and claims according to ICMPD´s financial regulations and policies;

Accurate and timely day-to-day reconciliation of the suppliers account and petty cash administration;

Physical and electronic archive maintained correctly, in-line with the established system; Accounting documentation for donor reporting compiled correctly and in a timely manner; Validated and corrected business partner profiles uploaded in SAP.

Incumbent Profile:

A minimum of 1 year of position relevant work experience;

Sound technical accounting skills.

Proficiency in MS Office (Excel) and knowledge of ERP systems. Knowledge of SAP is an asset;

Attention to detail, discretion and ability to work under pressure and tight timelines; Good analytical drafting and organisational skills and strong ICT skills. Corporate Qualifications:

Master’s degree in accounting, finance or business administration;

Experience in an international context;

Proficiency in (verbal/written) English, proficiency in another major EU language, Russian, or Arabic is an asset.

Compensation:

ICMPD offers an attractive compensation package. This position is classified at IP1 Grade, with an annual net-base salary starting at EUR 35,484. Additional benefits include participation in the ICMPD 2Provident Fund, Health and Accident Insurance, six weeks’ annual leave and, where applicable, dependent’s and mobility allowances.
