Background

Under the guidance and supervision of the Administrative Analyst, the Driver/Administrative Clerk provides support to administrative services ensuring high quality of work, ensures accurate, timely and properly recorded/documented service delivery. The Driver/Administrative Clerk promotes a client, quality and results-oriented approach. 
 
The Driver/Administrative Clerk provides reliable and safe driving services to UNDP GSSC staff and other high-ranking UN officials and visitors ensuring highest standards of discretion and integrity, sense of responsibility, excellent knowledge of protocol and security issues. The Driver/Administrative Clerk also demonstrates a client-oriented approach, courtesy, tact and ability to work with people of different national and cultural backgrounds.
 
Upon request of the supervisor, the Driver/Administrative Clerk can also be required to provide driving services to the operations staff in the GSSU, Consultants and Experts and UN staff on mission.
 
The Driver/Administrative Clerk works in close collaboration with the staff of the GSSU, the operations staff in the CO and other UN agencies staff to exchange information and ensure consistent service delivery.
 
 
 

Duties and Responsibilities

1. Reliable and safe driving services

  • Driving office vehicles for the transport of UNDP GSSC, other high-ranking officials and visitors 
  • Delivery and collection of mail, documents and other items
  • Meeting official personnel and visitors at the airport including visa and customs formalities arrangement when required
 
2. Ensures efficient administrative and logistical support, focusing on achievement of the following results:
  • Organisation and coordination of shipment and customs clearance
  • Support protocol liaison with Country Office, Ministries and Embassies
  • Maintenance of files in Administrative Unit
 
3. Day-to-day maintenance of the assigned vehicle
  • Timely minor repairs and arrangements for major repairs
  • Timely changes of oil check of tires, brakes, car washing etc
  • Checking vehicle logs and preparation of the draft vehicle history reports and maintenance plans while ensuring cost-savings through proper us of the vehicle
  • Availability of all the required documents/supplies including vehicle insurance, vehicle logs, office directory, map of the city/country, first aid kit, necessary spare parts in the assigned vehicle
  • Ensures that all immediate actions required by rules and regulations are taken in case of involvement in accidents

Required Skills and Experience

Education:

  • Secondary Education. Valid driver's license

Experience:

  • 3 years of relevant work experience as a driver
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and administrative tasks 
  • Safe driving record; knowledge of driving rules and regulations and skills in minor vehicle repair

Language Requirements:

  • Proficiency in English and Bahasa Malaysia
