JOB PURPOSE

The Business Support Assistant (Communications) performs administrative functions to support the Communications Unit, reporting to the Head of Communications. At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities.

The job holder requires familiarity with the field of communications, including graphic design, social media, photo and video production as well as a demonstrated understanding of branding and visibility.

KEY ACCOUNTABILITIES (not all-inclusive)
  1. Carry out routine administrative and financial tasks to support the goals of the Communications Unit, such as mission planning, procurement and finance processes.
  2. Manage the procurement of visibility items for all WFP Yemen offices, acting as focal point for all requests to ensure the timely delivery of items that meet the required specifications.
  3. Develop designs and specifications for visibility items in close coordination with the Procurement Unit and Communications Unit.
  4. Respond to queries and escalate where appropriate, in order to provide a timely and accurate services for the unit, management and AOs.
  5. Ensure that the Communications Unit is compliant with all financial and procurement processes, escalating any areas of concern to the appropriate senior staff member.
  6. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the Communications Unit.
  7. Provide revision, proof-reading and layout services for standard documents, reports and design templates, to contribute to the development of accurate documentation and appropriate visibility assets.
  8. Identify discrepancies in processes, such as missing information, and report to senior staff in order to support the unit’s work.
  9. Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
  10. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.


Experience: Three or more years of progressively responsible work experience in general administrative work with at least one years of experience in function related to communications (eg. design, marketing) or the humanitarian sector (eg. NGO or UN).


Language: Fluency (level C) in English language. Fluency (level C) in Arabic language.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Familiarity with Adobe Creative Suite (InDesign, Illustrator, Photoshop)
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff.
