Job Description
The IRC’s International Development (I-Dev) Unit, a part of the Global Partnerships and Philanthropy Department, leads on the Organization’s engagement with high-value private-sector stakeholders globally (corporations, foundations and individual philanthropists.) Working in a goal-oriented and fast-paced environment, the Associate Director of Global Events, under the direction of the Strategic Events Director and Senior Director, Partnership Services, will develop, plan and successfully execute a portfolio of creative, high-impact, global thought-leadership, cultivation, stewardship and fundraising events in support of I-Dev’s business goals. The Associate Director will collaborate with internal and external partners (corporations, foundations, high net-worth individuals) in key strategic international markets in line with I-Dev’s business strategy. S/he will provide expert event logistics and production coordination, as well as support on the development of compelling content adapted to address diverse cultural contexts. Major Responsibilities: Collaborate with key internal partners to develop a suite of global events (live and virtual) ranging from high level intimate gatherings to large dinners, thought leader conferences, meetings, etc. Lead all aspects of event coordination, logistics, production and execution from pre-planning through wrap up phases including but not limited to: Venue search, site visits and selection Menu selection, food and beverage service List pulls, invitation process, RSVP tracking Guest lists and seating Audio/visual Participant travel Event data management and reporting Assist in developing event themes, structures, and program elements. Collaborate with global creative services teams to design and produce event materials. Manage participant and speaker selection, prep and travel logistics, etc. Prepare event budgets, negotiate with vendors and ensure timely payments and reconciliations. Draft, review and edit event materials, donor communications, and other professional documents. Evaluate event program effectiveness and provide analysis of audience responses to events.
Qualifications
Work Experience: 6+ years of event planning experience with the proven ability to organize events through all phases of development. Education: Bachelor’s Degree or equivalent required. Language Skills: English is mandatory. French, German or Arabic strongly preferred. Preferred experience & skills: Experience with high level event, conference and meetings management and production. Detail orientated with exceptional organizational, time-management and project management skills. Ability to adapt quickly, plan for, prioritize and handle multiple projects while working in a fast-paced environment. Exceptional verbal and written communication skills. Excellent interpersonal skills with the ability to communicate and liaise effectively and diplomatically with donors, clients, colleagues, vendors, and consultants. A team player with the ability to work within dynamic, cross-functional, global, multicultural teams. Excellent event supplier knowledge and negotiating skills. Event budget creation and reconciliation experience. Ability to remain calm and flexible under high pressure and stress. Ability to problem solve quickly and effectively. Ability to travel for site-visits and on-site management of events (international travel may be required up to 60% of the time.) Working knowledge of key Asian, European and Middle Eastern event markets. Sound judgment in maintaining confidentiality of donor/client information. Solid computer skills: Highly proficient in Microsoft Office suite. Knowledge of event and customer relationship management software. Experience with CVENT and Salesforce is a plus. Must have a passion for the IRC’s mission and commitment to fundraising, constituent stewardship and cultivation. Working Environment: This role requires working remotely full or part time (i.e., telecommuting). Applicants must have a home or alternate workspace they can effectively complete their work from during regularly scheduled work hours. International travel may be required up to 60%. #LI-GR1
