Job Description

The IRC has worked in Liberia since 1996 and is one of the largest humanitarian actors in the country. Guided by its 2015 – 2020 Strategic Action Plan, the IRC implements innovative health, women’s and child protection and empowerment projects in Nimba, Lofa, Bong, and Montserrado counties.The IRC has also implemented projects in Maryland, River Gee, Grand Bassa,Margibi and Grand Gedeh counties .The IRC is currently leading the USAID Partnership for Advancing Community Based Services (PACS) Activity in Bong, Lofa, and Nimba counties of Liberia.

JOB OBJECTIVES:

The ideal candidate will have a “can do” attitude and desire long-term employment in a progressive business culture. We’re seeking an Executive Assistant who is comfortable performing general office duties, assisting with multiple programmatic and operational priorities and serving as the front desk person. The candidate will support IRC Liberia Senior Management Team (SMT), work with the Country Director closely, and will interact with the general public, as well as various internal and external stakeholders, with a high level of discretion and tact. Excellent writing, proofing and computer skills are essential.. He/she shallmanage SMT calendars, set up or organize meetings and manage information flow in an orderly and accurate manner.

RESPONSIBILITIES

  • Provide full administrative support for senior leaders including managing calendars, scheduling meetings and organizing complex domestic and international travel
  • Serve as point of contact for the SMT, employees, Vendors and partners
  • Support project-related assignments as requested by the SMT.
  • Manage information flow and desdsimination within a timely and accurate manner
  • Coordinate and manage leadershipcalendars Receive all communications for SMT and distribute in a timely manner to the various departments
  • Act as an office manager by keeping up with office supply inventory of the SMT s ensuring they have all stationey required to complete daily tasks.
  • Conduct basic research and support presentation development for senior management team
  • Format information for internal and external communication that meet with the IRC standards – memos, emails, presentations, agendas etc
  • Provide other secretarial and general administrative duties as required by the leadership

Qualifications

  • REQUIREMENTS
  • Two (2) years of administrative assistant experience that includes one (1) year at an executive level with a proven ability to perform multiple tasks at once, proficiency with Microsoft Office and; the ability to learn current/apply new automated functions to the office experience;
  • Balance multiple deadlines, schedules, planned meetings and is accustomed to supporting executives with very demanding schedules
  • Ability to remain calm and confident during high stress situations, experienced in handling confidential and sensitive materials with discretion
  • Resourceful, creative and innovative where needed
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills
  • Strong computer knowledge with proficiency in Microsoft Office Suite
  • Demonstrated ability to maintain discretion and confidentiality
  • Associate degree required (Bachelor degree preferred)
  • Strong computer knowledge (experiencing working with Microsoft Office Word, Power Point, Excel etc.
