(minimum) to 110945 CHF p.a. (maximum).

Introduction

The position is located in the Official Documents English Translation Unit of the Official Documentation Branch (OFFDOC) in the Department of Official Meetings, Documentation and Relations (RELMEETINGS). OFFDOC is responsible for the editing, translation, revision and text processing of all official ILO documents, including those submitted to the International Labour Conference, the Governing Body, Regional Meetings and Sectoral Meetings as well as documents produced by the Office of the Director-General.

 

This position is that of Text Processing Supervisor in the English team of text processing operators.

 

The incumbent will report directly to the Unit Head.

 

Specific Duties

1. Assess all documents received in the Unit, in terms of their complexity, urgency and confidentiality and collaborate with the Document Coordination and Translation Support Unit (DCU) in distributing and assigning these to operators using the document workflow system and adjusting work schedules as necessary. Provide instructions on templates, presentation issues and other aspects as necessary.

2. In coordination with the Official Documents French and Spanish Translation Units, organize trilingual checking of reports/documents to ensure consistency, accuracy and quality. Resolve any technical problem that may arise in a timely manner, raising any issues with the Unit Head. Ensure continuous coordination of work with translators.

3. Participate in the organization-wide process of establishing and updating editorial rules and practices in the respective languages (e.g. House style manuals). Provide briefing for and train team members in the application of the relevant instructions and models for the preparation of documents.
 
4. Assist the Unit Head and DCU with assigning and coordinating work to the text processors during meetings and conferences (i.e. Governing Body, International Labour Conference and the Committee of Experts on the Application of Conventions and Recommendations), while at the same time ensuring that all members of the team gain experience in the different aspects of conference/meeting work.

5. Identify and develop proposals for the Unit Head for improvements in existing working methods and practices, including technical instructions and guidelines, and the introduction of relevant new technologies.

6. Assist the Head of Unit in conducting performance appraisals as direct supervisor and identify and propose staff development needs.

7. Participate in relevant meetings on a regular basis to keep abreast of developments and changes in the Unit and share outcomes as appropriate.

8. Assist the Head of Unit in recruitment of general service temporary staff in the Unit, by examining CVs of potential candidates and participating in testing and interviews, and other related administrative tasks.

9. Oversee and perform all the duties of a Text Processing Operator, including typing in final form revised or original texts, formatting text, tables, graphics, etc., proofreading and transcription as required.

5.         Register and examine all documents received in the Unit

 

6.         Be accountable for the delivery of the work within the given deadline.

Required qualifications
Education

Completed secondary and commercial school.

Experience

At least eight years of experience in text processing.

Languages

Excellent knowledge of English. Working knowledge of one of the other two official languages (French, Spanish) of the Organization.

Competencies

In addition to the ILO core competencies, this position requires:

In-depth knowledge of document production processes. In-depth knowledge of software for monitoring and executing assigned tasks. (Job Tracking Software). Good supervisory skills. High level of tact in dealing with clients. Ability to handle increased work pressure during peak periods.  The ability to work in a multicultural environment and to demonstrate gender-sensitive and non-discriminatory behaviour and attitudes.
