Description of task

Under the direct supervision of Supply and Logistics Manager, the National UN Youth Volunteer will:

  1. Support the supply unit to draft tender documents (Requests for Quotations, Invitations to Bid, Requests for Proposals), and assists in the implementation of the tender process;
  2. Maintain and update the supplier database;
  3. Support the sourcing of relevant suppliers of goods and services, ensures completeness of suppliers’ profiles documentation and communicates with suppliers with regards to adherence to timelines during tendering process etc.;
  4. Support evaluations of offers through e.g. preparation of tabulation sheets;
  5. Ensure procurement files are up to date and appropriately filed/stored to facilitate easy and quick access as needed;
  6. Participate in regular warehouse physical inventory counts;
  7. Receive and distributes invoices to relevant programs, monitors invoicing process related to supply function and monitors invoice process with the goal of adherence by all parties;
  8. Provide through monitoring and analysis of relevant VISION report support to the monthly clearing of Goods in Transit account;
  9. Support the further development of the UNICEF Enterprise Content Management website through identification of most relevant functionality as well as information to be included linked to supply and procurement issues;
  10. Assist with technical tasks in support of supply and logistics unit when required;
  11. Provide administrative support to the supply and logistics unit when required;
  12. Any other related tasks as may be required or assigned by the supervisor.
Qualifications/Requirements Required degree level: Bachelor degree or equivalent Education - Additional Comments:
  • Undergraduate degree in Business Administration, Law, Economics, Management, Computing/ICT, Supply Chain Management, Procurement, Logistics or other related fields.

Required experience: Experience remark:
  • Demonstrated interest and/or experience in procurement and supply chain management;
  • Motivated to contribute towards peace and development and to serve others;
  • Good interpersonal, networking and communication skills (oral and written);
  • Willingness to contribute and work as part of a team;
  • Flexible and open to learning and new experiences;
  • Respect for diversity and adaptability to other cultures, environments and living conditions;
  • Previous experience as a volunteer and/or experience of another culture, (i.e. studies, volunteer work, internship) would be highly regarded;
  • Computer skills (i.e. Word, Excel, PowerPoint, social media, and others);
  • A high level of individual responsibility, commitment and initiative;
  • Demonstrated understanding of operations relevant to the UN and UNICEF; technical capabilities or knowledge relevant or transferrable to the UN procedures and rules; discretion, political sensitivity, diplomacy and tact to deal with clients; ability to apply good judgement; ability to liaise and coordinate with a range of different actors, especially in senior positions; where appropriate, high degree of autonomy, personal initiative and ability to take ownership; resourcefulness and willingness to accept wide responsibilities and ability to work independently under established procedures; ability to manage information objectively, accurately and confidentially; responsive and client-oriented.
