Background

The UN began its work in Sri Lanka in 1952. Three years later, on 14th December 1955, Sri Lanka signed the UN charter, and was admitted as a member state to the UN. For more than sixty years, the UN, in partnership with the government and people of Sri Lanka, continues to work to ensure inclusive and sustainable development, through its 21 specialized agencies, funds, programmes and offices allowing for better living conditions for all Sri Lankans.
 
The UN Compound located at Bauddhaloka Mawatha, Colombo 7 comprises of eight agencies and approximately 200 staff. The premises is managed by a Common Services Team chaired by UNDP. In 2017 the UN system undertook the establishment of a modern conference facility within the UN Compound to cater to the changing demands of the UN agencies. This facility has been completed. In addition, the UN Compound cafeteria is also undergoing renovation to cater to the conference facility and the increase in UN staff.
 
Under the overall guidance and supervision of the Premises Associate, the Event Coordination Associate is responsible for the reliable and cost-effective delivery of common event management services to the UN agencies within the UN Compound. The Event Coordination Associate is responsible for ensuring a “service-oriented” delivery and relationships with all UN agencies in the UN Compound, and maintain strong working relationships with external stakeholders providing services to the cafeteria and conference facility. In addition, the Event Coordination Associate is expected to continuously monitor the technical operating environment, in order to advise the Common Services Team and prepare for quick readjustments of the services offerings.
 
Objective of this profile is to ensure a smooth provision of event management service at the conference and cafeteria facility at the UN Compound.
 

Duties and Responsibilities

Functions / Key Results Expected 
  • Ensures efficient events, procurement and logistical services management 
  • Ensures efficient and accurate conference hall reservation management 
  • Ensure knowledge building and management 
Ensures efficient events, procurement and logistical services management focusing on achievement of the following results:
 
  • Efficient management of the UN Compound Conference Room and meeting room facilities and Cafeteria including overall assistance in organizing special events, administration and maintenance of facilities and client-orientation alongside the administration and management of outsourced services, as requested;
  • Responsible for ensuring UN Compound event management/hospitality related procurement is conducted in compliance with relevant UN regulations, rules and policies;
  • Liaising with other UN entities to maintain efficient use of the conference facility
  • Management of the Cafeteria including participation in tendering processes and   evaluation, managing the contract and contractor, handling and liaising with external organizations allowed to engage in business related to cafeteria and conference hall of the UN Compound. 
  • Management of Long-Term Agreements (LTAs) with catering service providers for the provision of services to the UN Compound Conference Facility.
Ensures efficient and accurate conference hall reservation management focusing on achievement of the following results:
 
  • Monitor and prepare regular management reports on common event management services for Common Service Team approval review.
  • Proper management of UN Conference room reservation and billing system
  • Monthly billing of clients based on usage of conference hall  by the 10th of the following month.
  • Monitor and coordinate with service providers about technical issues of the multimedia, Audio visual & network systems of the UN conference hall.
Ensures facilitation of knowledge building and management focusing on achievement of the following results:
 
  • Identification of sources of information related to Common event management services.
  • Identification and synthesis of best practices and lessons learnt directly linked to the UN Compound common event management services development goals.
  • Sound contributions to knowledge networks and communities of practice.

Required Skills and Experience

 
Education:
  • Secondary Education (G.C.E. Advanced level) OR Degree in Tourism, Hotel Management or related field. 
 
Experience:
  • Minimum of 6 years relevant and progressive experience providing coordination, administrative and operational support in the Food and Beverage Management industry with Secondary Education OR One (1) years relevant and progressive experience providing coordination, administrative and operational support in the Food and Beverage Management industry with bachelor’s degree. 
 
Language Requirements:
  • Fluency in the English Language. 
  • Fluency in Sinhala and/or Tamil languages would be an advantage.
